- Manage calendars for 2-3 Attorneys, schedule client meetings, and organize the firm's calendar.
- Analyze schedule capacity vs demand, prioritize consultations based on importance, urgency, and impact on firm goals.
- Communicate schedule changes and updates to clients, team members, and management.
- Handle client document management and maintain confidentiality.
- Prepare high-level summaries of client background information for Attorneys.
- Handle phone and email inquiries, follow up on unresolved emails.
- Ensure consultation fee payments are received before client consultations.
- Manage USCIS notices, scan and save notices in client files.
- Maintain a pleasant, clean, and well-functioning office environment.
- Meet and greet clients, provide a positive experience.
- Manage office supplies and inventory.
- Experience in complex scheduling, office administration, or executive assistant roles.
- Proficient in Microsoft Office and Google Workspace.
- Knowledge of CRM systems and tech-savvy skills preferred.
- Familiarity with Zoom and Google Meet video conferencing software.
- Strong time management and communication skills.
- Flexible with schedules and priorities.
- Ability to work in the office five days a week.
