    Position Overview:

    We are seeking a detail-oriented and organized Office Manager with a strong administrative background to join our team. In this role, you will work closely with the CEO and senior leadership to streamline operations, manage projects, and facilitate communication. The ideal candidate will possess excellent administrative skills, meticulous attention to detail, and the ability to thrive in a dynamic environment.

    Key Responsibilities:

    1. Administrative Support:

    • Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
    • Prepare and edit correspondence, presentations, and reports for internal and external distribution.
    • Maintain accurate records and files, ensuring confidentiality and security of sensitive information.

    2. Project Management:

    • Lead and support strategic projects and initiatives as assigned, overseeing timelines, budgets, and implementation to ensure successful outcomes.
    • Coordinate project teams, facilitate meetings, and track progress to drive timely completion of objectives.
    • Prepare project documentation, including status reports, meeting minutes, and action items.

    3. Communication and Coordination:

    • Serve as a central point of contact for internal and external communications, responding to inquiries and requests in a timely manner.
    • Facilitate communication and collaboration across departments, ensuring alignment on priorities and objectives.
    • Prepare agendas and materials for meetings, capturing key decisions and action items for follow-up.

    4. Office Operations:

    • Oversee office operations and facilities management, ensuring a safe, productive, and organized work environment.
    • Manage vendor relationships and contracts for office supplies, equipment, and services, optimizing costs and ensuring compliance with company policies.
    • Identify opportunities for process improvements and efficiency gains, implementing solutions to enhance productivity.
    • Work closely with leadership to support and train on HR programs and initiatives.

    Qualifications:

    • Bachelor's degree in business administration, management, or a related field; additional certifications or training in administration preferred.
    • Proven experience in an administrative or project management role, preferably in the real estate or construction industry.
    • Strong organizational skills and ability to prioritize tasks effectively in a fast-paced environment.
    • Excellent written and verbal communication skills, with a keen eye for detail and accuracy.
    • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and project management software.
    • Discretion and professionalism when handling confidential information.
