    Brainstorm Creative Resources is recruiting for a full-time, salaried, Operations Coordinator position on behalf of a media production firm with offices near Georgetown in Northwest, Washington, DC.

    The firm made a name for itself producing ads and videos for Democrats and Progressives in local, state, and national races.

    They also create branded content for some of the most recognizable and influential non-profit organizations, associations, and corporations in the country.

    Brainstorm Creative Resources has supported and maintained a close relationship with this firm since 2010.


    The Operations Coordinator will facilitate business management activities and studio operations, interacting regularly with team members, clients, vendors, service providers, and the general public.

    Most of the work will be conducted in person at the firm's studio. Telecommuting is supported 1-2 days per week, adjusting for the ebb and flow of the business cycle.

    REQUIREMENTS:

    • Bachelor's Degree.
    • At least four years of consistent work experience in one or more of the following: Operations; Human Resources; Accounting; Finance; Facilities Management; or general Business Administration.
    • Experience working in Google Workspace.
    • Advanced communications and process managementrelated computer skills.
    • Excellent verbal and written communication skills.
    • Available to accommodate occasional evening or weekend tasks
    (Examples:

    three to four evening client or team events per year and/or infrequent unscheduled, time-sensitive tasks where external factors control deadlines/timelines.)



    • Every two years (2024, 2026, 2028, etc.) be available to work longer than normal hours during the months preceding November elections the company's busiest months of a twoyear cycle. It typically works out to be around 50 hours/week for two to three months out of a 24month business cycle, to accommodate a temporary increase in client work.
    • Ability to travel overnight for one or two company events each year.

    ADDITIONAL DESIRABLE QUALIFICATIONS:

    • Prior work as a political campaign staffer in an operations, advance, scheduling, or similar department.
    • Prior work in media production with a production company, agency, or an organization's communications department.
    • Experience using FunctionPoint or similar production management software; Quickbooks, , or other financial management software; customer relations management (CRM) software.

    RESPONSIBILITIES OVERVIEW:

    • Serve as a reliable point of contact for initial inquiries from internal and external clients, especially those concerning business development and marketing.
    • Serve as the professional point of contact between the team and external clients by coordinating schedules and meetings for a subset of business activities.
    • Research; prepare data, agreements, and other informational materials for potential clients, current clients, service providers, and team members.
    • Work alongside the Director of Operations on companywide human resource management, including recruitment, hiring, onboarding, retention, development, and data management.
    • Independently and in cooperation with company bookkeepers, ensure accurate, efficient, and timely processing of AR and AP; handle document/information sharing with bookkeepers for each monthly close.
    • Proactively maintain recordkeeping systems for the purpose of compliance and state and federal government reporting needs, such as filing taxes.
    • Maintain a subset of critical project, client, and vendor data across multiple platforms.
    • Routinely evaluate and offer recommendations for process improvements.
    • Fulfill requests of internal and external clients, both independently and in coordination with other team members.
    • Support and shape a culture of appreciation for staff and clients (e.g. by managing celebrations, team meetings, company retreats, special projects).
    • Proactively maintain all aspects of studio organization.
    • Maintain office security systems & access functions for staff, clients, and vendors.
    • Maintain facility inventory and manage procurement; including office supplies and technology, production equipment, marketing materials, and more.
    • Manage studio maintenance; ensure studio spaces are organized, stocked, and clientready at all times.
    • Coordinate catering and meal delivery services at the studio for clients and team members.
    • Coordinate shipping needs and courier services, process company mail and deliveries.
    • Train team members to assist with studio operations and maintenance.

    SALARY:


    Based on conversations we have had with the employer, Brainstorm Creative Resources is suggesting a salary range of up to $75K.


    Experienced professionals whose resumes indicate significant relevant experience can expect that we will make a strong case to our client, to pay you at or near the maximum advertised salary or possibly beyond.

    Alternatively, it is unlikely (but not impossible) that our client will offer ascending, early career applicants the maximum salary.


    The actual salary offered will be commensurate with your experience and current market norms and will also largely be based on the following factors: credentials as detailed in your resume, your portfolio or other example work submitted, your initial interactions with Brainstorm Creative Resources and/or the hiring organization, and quality of reference providers and references provided.
