- Team Management:
- Open team POs, process change orders/extensions, track invoicing, track accruals, etc.
- Track transfers/changes, manage budget asks on a weekly, monthly and quarterly basis, track underspend and overages & find solutions, and partner with finance partners to understand discrepancies. Report monthly on team budget status to GM and Director of Comms & Business Ops.
- Ensure team members input into the team tracker and monitor for inconsistencies.
- Manage interim approvals for team expense reports by checking for accuracy in charge categorization, required receipts, and overall corporate and team policy compliance.
- Execute the budget planning process for the fiscal year, at the direction of the Director of Comms & Business Ops.
- Support team members to take their required action to ladder to team, org, and company deadlines.
- Support EA and Director of Comms & Business Ops in driving employee engagement & participation and to hit required deadlines.
- Team management:
- Create and manage all agency and vendor accounts for accuracy and security.
- Manage all team distribution groups for accuracy and security.
- Organize and maintain team file sharing on Teams sites & channels for clarity, ease of access, and document version control
- Support the leadership team with team onboarding by ensuring new members are part of the appropriate distribution lists.
- Support GM & team brand:
- Support the GM in developing team-wide communications, creating PPT decks and other presentation materials.
- Ensure GM is fully prepared for upcoming presentations (knows where the documents are, has practiced/prepped with the content, is confident that presentation technology, such as video/sound/ will work correctly)
- Rhythm of Business:
- Collect and communicate agenda topics.
- Ensure team meetings are recorded and time-zone inclusive.
- Meeting management may include logistics and execution needs, such as venue & catering for team offsites, printing and shipping physical materials, etc.
- Events & morale:
- Team hygiene (track birthdays, work anniversaries, geographical locations, org charts, etc.)
- Event management (meeting cards/hotel blocks, catering, etc.)
- Support efforts & execute actions with direction from the Director of Comms & Business Ops around D&I, team health & culture, morale, etc.
