    Job Title: Event Assistant

    Overview:

    As an Event Assistant, you'll play a pivotal role in ensuring the smooth execution of various events, ranging from corporate conferences to community festivals. You'll work closely with event planners and coordinators to support pre-event preparations, manage on-site logistics during events, and assist with post-event wrap-up tasks. This position requires strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

    Responsibilities:

    1. Pre-Event Preparation:
      • Assist in researching and securing event venues, vendors, and suppliers.
      • Coordinate with vendors to arrange for equipment rentals, catering services, and other event necessities.
      • Assist in developing event timelines and schedules.
      • Support in creating and distributing event marketing materials, such as flyers and invitations.
      • Assist in managing guest lists and RSVPs.
    2. On-Site Event Support:
      • Set up event spaces, including arranging seating, signage, and audiovisual equipment.
      • Greet guests, provide event information, and address any inquiries or concerns.
      • Assist with registration and check-in processes.
      • Coordinate with vendors and volunteers to ensure smooth operation of event activities.
      • Monitor event proceedings to ensure adherence to schedule and resolve any issues that arise promptly.
      • Assist with event photography/videography or live social media coverage, if needed.
      • Provide general support to event attendees as required.
    3. Post-Event Activities:
      • Assist in dismantling event spaces and organizing equipment for return or storage.
      • Collect feedback from attendees and stakeholders to evaluate event success and identify areas for improvement.
      • Assist in compiling post-event reports, including financial summaries and attendee demographics.
      • Support in sending thank-you notes or follow-up communications to attendees, sponsors, and partners.
      • Assist in archiving event materials and documentation for future reference.

    Qualifications:

    • Excellent organizational and time-management skills.
    • Strong interpersonal and communication abilities.
    • Ability to work well under pressure and adapt to changing priorities.
    • Proficiency in Microsoft Office and event management software is a plus.
    • Availability to work flexible hours, including evenings and weekends, as required by event schedules.
