    Description

    DUTIES INCLUDE BUT ARE NOT LIMITED TO:

    · Greeting guest and handling various administrative details with initiative and good judgment.

    · Providing general administrative support including answering multiple phone lines, filing, making copies, scanning, faxing, handling travel arrangements, scheduling meetings, submitting expense reports, reserve meeting rooms for various department directors.

    · Sending, receiving and distributing mail and packages from USPS, UPS, Fed-Ex, interoffice courier, updating employee mailbox, and name plates.

    · Answering inquiries and/or referring callers/visitors to appropriate person/department.

    · Ordering office supplies, flowers, toner cartridges, return used cartridges and Xerox supplies

    · Placing service requests to TriStar Help Desk, placing service calls for copiers and printers, etc.

    · Assist with division event planning such as Christmas, division cookouts, etc.

    · Keeping kitchen, supply room, copy room, lobby, and meeting rooms stocked and tidy.

    · Initiating resolution of all physical office concerns with Stanton Group (i.e., A/C and heating complaints, carpet cleaning, pest control, lighting, key-making, etc)

    · Updating the division roster and Outlook Division distribution list

    · Records Management with Iron Mountain (File Storage, Log and Destruction)

    · Practice and adhere to the "Code of Conduct" philosophy and "Mission and Value Statement".

    · Maintaining strictest confidentiality.

    · Other duties as assigned

    KNOWLEDGE, SKILLS & ABILITIES

    · Knowledge of organizational policies, procedures, and systems.

    · Ability to work in a fast paced, high stress environment.

    · Strong interpersonal, communication, and organizational skills.

    · High level of proficiency with MS Office products including Outlook, Word, Excel, and PowerPoint.

    EDUCATION

    · High school diploma or GED required

    · Associate or bachelor's degree in business administration

    EXPERIENCE

    · Relevant education may substitute experience requirement

    · Experience as an Administrative Assistant preferred

    • Required/preferred experience: 2 years in an executive setting
