    Customer Service Specialist - Enrollment Services


    SALARY:
    $3,145-$3,537/month (prorated to a 16 hour per week schedule)

    DESCRIPTION:


    The Customer Service Specialist 2 must exhibit an appreciation of, a sensitivity to, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological and ethnic backgrounds.

    This includes a demonstrable understanding and acceptance of the mission, values, goals and objectives of Edmonds Community College, and acceptance of the responsibility to promote the welfare and best interests of students at all times.

    The position serves as customer services specialist in assisting students, faculty, staff, and community members with any and all questions and needs with respect to admissions and registration via phone, email, and face-to-face interactions.

    Critical to this position is the ability to provide excellent customer service, admitting and registering students, answering Enrollment Services phone lines, helping students on Zoom, corresponding via email, and providing assistance with any entry to completion processes.

    This position maintains and handles various confidential student records. Additionally, this position is responsible for scanning and indexing all incoming forms to Enrollment Services.

    This is a permanent part-time classified position reporting to the Associate Dean of Recruitment, Admissions, Enrollment Services.

    Responsibilities include, but are not limited to:

    • Greet, assist, provide direction and information to students and the community in processes related to admissions, enrollment, registration, and records. Includes problem resolution of complex issues related to admissions eligibility and enrollment requirements based on the interpretation of federal, state and institutional regulations and policies
    • Provide direct service at the Enrollment and Financial Aid Services front counter, on the phone, and on Zoom
    • Using excellent customer service skills, guide new students through the admission and assessment process, perform registration functions, provide information on programs and services, receive and route requests for information, and provide direction and referral.
    • Respond to emails that come to account
    • Handle confidential information in compliance with FERPA regulations
    • Help students access and retrieve their records
    • Help students in filling and submitting various Enrollment Services forms including admissions application, registration form, instructor permission request, program/plan change request, verification of enrollment, transcripts request, transcript evaluation request, graduation application, petition for exception to policy, medical withdrawal, residency applications, and others
    • Interpret policies and procedures for students, faculty, staff, administrators and community members
    • Scan and index all incoming forms into the DOCMAN/Quillix system
    • Sort, organize, and accurately file a large amount of time-sensitive documents
    • Coordinate with the supervisor in purging of all forms and documents in accordance with records retention schedules
    • Copy, scan, fax and email documents
    • Notify the supervisor when supply levels are low or equipment needs servicing
    • Communicate changes needed to policies/procedures for improved customer service and continuous operational improvement
    • Maintain a clean, organized, and safe work environment
    • Back-up coverage at Welcome Desk.
    • Other related duties as assigned.

    REQUIRED QUALIFICATIONS:

    • Associate's Degree, OR a high school diploma and experience sufficient to successfully perform essential job functions in a field relevant to the duties of the position
    • One year of clerical and customer service experience
    • Excellent customer service and interpersonal skills
    • Computer experience: intermediate-level Excel, Word, calendaring and database experience
    • Excellent verbal and written communication skills(See Conditions of Employment section for additional requirements.)

    DESIRED QUALIFICATIONS:

    • Two-three years of clerical and customer service experience
    • Excellent organizational skills and attention to detail
    • Experience working in a college setting, preferably in admissions or enrollment services
    • Knowledge/fluency in a second language

    PHYSICAL WORK ENVIRONMENT:
    Work is typically performed in an office setting, and onsite/in-person.

    The ability to sit at a desk/computer station, bend, stoop, walk and generally move around the office to consult with others, work within a busy environment and remain focused on tasks.

    Inventory management requires some lifting and moving of objects up to 30lbs. Excellent communication skills are essential.

    This includes the ability to speak clearly and fully comprehend written and spoken English and will include communication with people for whom English is not their first language.

    This also includes the ability to produce clearly written documents. Those who are multilingual are strongly encouraged to apply.


    WORK SCHEDULE:
    This is a permanent part-time classified position for a 16 hour per week schedule. Monday, Tuesday, Thursday, 9-1PM, and Friday 9-12PM.


    COMPENSATION:
    Salary is Range 37, $3,145-$3,537/month (prorated to a 16 hour per week schedule), with progressive increases to $4,174. This position is not eligible for benefits

    CONDITIONS OF EMPLOYMENT:
    You must document your citizenship or employment authorization within three days of hire.
    Criminal background check. Prior to a new hire, a background check including criminal history will be conducted. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.

    • This position is subject to a collective bargaining agreement.
