    Contract Admin Assistant

    Job Summary

    The Contract Administrative Assistant will be the liaison between our customers and respective Insurance companies to provide proof of insurance, as well as monitor the subcontractor/partner database for expiring insurance certificates. This position plays a critical role in ensuring our technicians and subcontractors can complete their jobs in a safe and timely manner while on and off-site. This position will be in the Carrollton, TX office at DuraServ's headquarters.


    Essential Functions

    Reasonable accommodation may be made to enable individuals with disabilities to perform these essential functions.

    1. Creates Certificates of Insurance utilizing preset templates based on customers' requirements.
    2. Assist a team of Contract Administrators with project-specific insurance certificates while updating and maintaining contract files.
    3. Partners with the insurance companies in completing annual renewals for all customers by the deadline – typically in the summer.
    4. Responsible for portals, including creating and maintaining the insurance/compliance portals.
    5. Complete enrollment of owner/contractor-controlled insurance program (CCIP) in required contracts.
    6. Data Entry and maintenance of contract admin databases
    7. Provide regular updates on insurance policies and limits to internal and external customers.
    8. Run Daily/Weekly Reports and submit them to the Contracts Supervisor and other internal DuraServ Departments.
    9. Other duties as assigned.

    Knowledge, Skills, and Abilities

    • Demonstrate proficiency in Microsoft Office (examples: Excel, Outlook, Word, PowerPoint)
    • Must be comfortable running reports in Excel.
    • Skilled in written and verbal communication
    • Attention to detail is a critical requirement.
    • Ability to complete administrative tasks at a high speed and with data accuracy.
    • Ability to identify and resolve problems.

    Supervisory Responsibilities

    • This position has no supervisory responsibilities.

    Work Environment and Physical Demands

    • In an office environment with a possibility of Hybrid.
    • Prolonged periods sitting at a desk and working on a computer.
    • Must be able to lift up to 15 pounds at times.

    Travel

    • This job requires no planned business travel.

    Education and Experience

    • High School graduation or equivalent is required.
    • Associate or bachelor's degree, preferred.
    • Combined experience in an administrator-type job role of 1-2 years with education is desirable.
