    TechTown seeks a rockstar administrative or project manager to join the Collaborative Workspace + Facilities team as its Associate Director of Collaborative Workspace.

    The Collaborative Workspace + Facilities (CW+F) team is the front-line customer service team responsible for operating a 135,000-square-foot historic building in Detroit's New Center that supports diverse coworking, private offices, working labs, meetings, and events.

    The Associate Director of Collaborative Workspace is a new role that will further define, document, streamline, and automate processes that support the work of the CW+F team at its current location while preparing for opportunities to grow TechTown's operations.

    The Associate Director of Collaborative Workspace will leverage technology and systems to help the team work more efficiently and effectively with scalability in mind.


    This full-time position reports to the Collaborative Workspace Director and works closely with CW+F colleagues including the Associate Director of Facilities, Community Ambassador Manager, Membership Manager, and Events Manager, along with other key internal partners.


    The Impact you will make:

    Operations and Customer Service:


    With support from the Collaborative Workspace Director, manage the leasing process for private offices at TechTown owned and managed sites, including tours, negotiations, and contract execution; apply industry best practices; leverage OfficeRnD functionality and automation to streamline process; update shared documents in coordination with any contract and leasing policy revisions.

    Develop and support reporting on service ticket resolution and other performance metrics; Coordinate ticketing process across multiple locations and systems; lead ticket review, prioritization, and resolution process.

    Manage/coordinate inventory/ordering process for supplies used across CW+F functions.
    Actively participate in organization-wide meetings, advocating for and sharing information and updates with CW+F colleagues.

    Manage building safety initiatives by maintaining and coordinating emergency protocols, egress signage, security alarm services; coordinate evacuation and training exercises and drills, and dock access training.

    Schedule and lead community engagement tours; support Membership Manager and Community Ambassadors in providing member/tenant prospect tours.
    Support CW+F in creating spaces and amenities that attract and serve members/tenants.
    Support CW+F team in making connections between members/tenants and relevant TechTown programs and initiatives.


    Systems and Infrastructure:


    Develop deep working knowledge of flexspace management software (OfficeRnD) and apply it to support CW+F goals; develop reporting/dashboards to track progress across multiple workgroups.

    Lead building technology troubleshooting and coordinate third-party IT services for support (includes Wi-Fi infrastructure and printers/print management integration).
    Oversee team-wide data collection and reporting; identify trends to support data-driven decision-making and strengthen the team's analytical skills.


    Budget and Finance:
    Collaborate with Finance to resolve tenant/member billing issues; audit/match billing to leases/agreements.
    Participate in annual budgeting process; monitor monthly reports, identify cost-saving and revenue opportunities across CW+F.
    Support Request for Proposal (RFP) process and gather vendor quotes; schedule and meet with vendors as needed.
    Support vendor and bill payment process, identifying efficiencies across CW+F.
    Support Associate Director, Facilities with quarterly Capital Improvement Plan review; schedule and document cross-departmental meetings and follow-up.
    Lead other project management initiatives assigned by Collaborate Workspace Director.

    Requirements

    What You Will Bring to the Table:
    Bachelor's Degree in related field or equivalent combination of education and experience.
    3-5 years' experience in coworking, commercial real estate, facilities management, or contracting.
    Service mindset.
    Solid project management skills and ability to multi-task in a fast-paced environment.
    Demonstrated experience and success in creating processes/forms from scratch
    Experience with and/or aptitude for understanding IT infrastructure.
    Experience managing vendors and familiarity with contracts.
    Excellent analytical, critical thinking, and problem-solving skills.
    Highly resourceful team-player with the ability to also be extremely effective independently.

    Strong technical skills; Proven ability to learn and use new software and systems; Proficiency with Microsoft Office Suite (Outlook, Word, Excel and Power Point).


    Would Be Nice to Have:
    Experience with business scaling and organizational change.
    Experience using OfficeRND or other coworking/leasing software.
    Experience caring for an historical building.
    Knowledge of or interest in entrepreneurship, startups, small businesses and/or community and economic development issues in Detroit.


    Salary:
    The budgeted salary range for this position starts at $70,000 and may be adjusted according to qualifications and experience.

    Work Arrangements:


    As the front-line team, Collaborative Workspace + Facilities team members work on site most of the time with some flexibility, as approved by the Collaborative Workspace Director.
