Position Description:


Specialist Facilities Management


The RY GWES Specialist Facilities Management position acts as a planner, coordinator and liaison between the site operational team and the stakeholder organization and or the external community at the Rahway site.

This role is a trusted point of contact, facilitating seamless information exchange, communications, planning and coordination to ensure seamless execution of programs and events.

The primary responsibility of this role is supporting the stakeholders and the Facilities Management operations team by coordinating and executing projects/events, managing schedules, maintaining the event budget as applicable.


Key Responsibilities:


Communication Facilitation:


Serve as the key liaison between the applicable stakeholders and the site Facilities Management team, fostering open and clear communication channels to support collaboration and synergy.


Coordination and Scheduling:


Coordinate and manage meetings / events with both internal and external stakeholders, appointments, and engagements, ensuring optimal utilization of planning and effective participation of the site FM/IFM team as applicable.

This enables business continuity and minimizes disruptions during key events.


Information Exchange:


Gather, analyze, and disseminate relevant information between the stakeholders and the site FM team, ensuring accurate and timely communication to facilitate decision-making.


Project Coordination:


Support the planning, implementation, and monitoring of site FM events and initiatives by coordinating with both stakeholders and FM team, ensuring seamless execution of projects.


Administrative Support:
Provide support to stakeholders and FM site team, including managing correspondence, drafting memos, and conducting research as required.


Position Qualifications:


Education Minimum Requirement:


  • Bachelor's degree or higher, with two (2) years or experience in project management/event planning and communications.

OR

  • High School Diploma/GED with four (6) years of years or experience in project management/event planning and communications.

Preferred Experience and Skills:


  • Experience working closely with executives and Facilities Management teams.
  • Excellent interpersonal and communication skills to effectively liaise with executives, staff, and external stakeholders.
  • Strong organizational and multitasking abilities, with the capacity to manage multiple priorities and deadlines efficiently.
  • Proficiency in project management tools and software.
  • Familiarity with budgeting and financial management principles.
  • Attention to detail and the ability to maintain confidentiality.
  • Flexibility to adapt to changing priorities and work effectively in a fastpaced environment.
