The essential role of this position:

Conserves Executive Manager's time, enhances his effectiveness, promotes the corporate image by representing him internally and externally, and provides administrative support.


Responsibilities:


  • Represents the Executive Manager by welcoming visitors, reviewing correspondence, arranging Company's functions, answering questions and meeting requests directed to the Executive.
  • Arranges travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations.
  • Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problemsolving, and making adjustments to plans.
  • Updates job knowledge by learning about the industry, participating in educational opportunities, reading professional publications, maintaining personal networks, learning from peers and managers.
  • Conserves the Executive's time by reading, researching, and routing correspondence, drafting letters and documents, collecting and analyzing information, initiating telecommunications.
  • Manages and maintains the Executive's schedule/calendar. Prepares presentation materials.
  • Maintains the Executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Maintains contact lists and various databases.
  • Represents Executive by attending meetings in his absence, taking notes for him. Maintains all records, reports, and files for Executive. Assists with expense reports.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Assists in covering the company's phones.
  • Completes some office management duties.
  • May be asked to provide admin support to several executive managers.
  • Other duties as assigned.
