    Description

    Optica is seeking a skilled Program Manager responsible for managing, coordinating, and executing the program and volunteer management aspects of all Optica Events. Working closely with meetings chairs to ensure technical program excellence, performance, and diversity. As the primary point of contact for authors and invited speakers, providing necessary customer service support. Efficiently handling conference paper processes as per standard operating procedures.

    RESPONSIBILITIES:

    • Committee / Volunteer Management (OPCs, Topicals, and Conferences)
      • Serve as the primary liaison between Optica and program committee
      • Schedule and draft agendas for meeting kick-off calls
      • Confirm meeting scope, update website, and maintain membership lists
      • Respond promptly to committee requests and concerns
    • Speaker and Submission Management
      • Configure submission site and update meeting website
      • Maintain invited speaker lists and enforce deadlines
      • Prepare reports on submission numbers and speakers
    • Program Development Support
      • Manage peer review process and sessioning process
      • Invite, track, and confirm session chairs
      • Notify authors of decision and presentation details
    • Publications Management
      • Generate agenda of sessions and session guide
      • Register ISBN for Technical Digest and perform quality checks
      • Manage program changes and ensure quality assurance

    EDUCATION AND EXPERIENCE:

    • Four-year college degree required
    • Two or more years of meeting program experience preferred
    • Association experience preferred

    SKILLS AND ABILITIES:

    • Strong oral and written communication skills
    • Ability to meet deadlines, coordinate details, and work independently
    • Proficiency in Microsoft Office software and database applications
    • Attention to detail required
    • Excellent customer service skills
