    Administrative HR Assistant - Farmington Hills, United States - LER TechForce LLC

    Description

    Provide administrative support to the site, including, but not limited to visitor coordination, preparing presentations and reports, assisting facilities activities, and updating databases.

    DUTIES & RESPONSIBILITIES:

    1. Administrative Support
      1. Prepare reports and presentations for management team
      2. Assist internal teams with communications for the site including emails, presentations, and postings
      3. Maintain an SharePoint page; "homepage" for customer; include links and customer news, etc. (replicate the customer homepage)
      4. Admin Iron Mountain accounts both internal customers for shred/storage coordination
      5. Answering all incoming phone calls. Now also including for customer center O365 needed to look up contacts and phone numbers
      6. Calling potential candidates, setting up interviews, downloading candidate resumes in BrassRing and updating spreadsheets.
      7. Create monthly employee birthday and anniversary slides and distribute
      8. Create and print badges for all FH-based people
    2. Visitor Coordination
      1. Serve as initial point of contact for visitors to the site, document visitor information, connect visitors with their site contact and provide information and supplies needed for safe and successful site visit
      2. Issue and track visitor and guest badges
      3. Coordinate meeting spaces
      4. Set-up / Clean-up for meetings, pick-up breakfast, refreshments, and lunch; assist setting up large meetings, employee events
    3. Mail, Shipping and Receiving
      1. Receive mail and package deliveries; sort and arrange distribution
      2. Coordinate pickup for outgoing mail and packages
      3. Manage long-term document storage and retrieval offsite
      4. Packing, weighing, creating labels, scheduling pick-up, keep shipping log of all shipments
    4. Facility Activity Support
      1. Assist with overall safe operation of the facility
      2. Perform daily security check of FH-building entry/exit points
      3. Facility doors - unlock in morning, lock at night.
      4. Act as point of contact for site personnel on building concerns and perform liaison with landlord. Maintain and track service requests for building maintenance in landlord portal.
      5. Perform record-keeping duties to document maintenance schedules, work orders, purchases
      6. Assist with conducting and tracking safety exercises and drills
      7. Coordinate with service providers to order and replenish office, break station and kitchen supplies
      8. Coordinate with cleaning service to assure site cleanliness
    5. Other projects and duties, as assigned. Specific responsibilities may change over time
    Education

    High School Diploma required
    2 years of post-high school education is preferred

    Required Skills
    • 3 years of experience with clerical and administrative work
    • Organized and able to handle multiple tasks and interruptions
    • Ability to interact and work with all levels of employees and visitors
    • Good written and verbal communication skills
    • Proficient with Microsoft Office programs and other computer programs and databases
    • Excellent multi-tasking and problem-solving skills
    • Employees are regularly required to sit, stand and walk
    • Reaching and bending is required
    • Ability to lift up to 25 pounds
    • Demonstrated drive to provide exceptional customer service
