    Records Sealing Coordinator, Administrative Specialist 1 (Wilsonville)

    About the Job:

    Your Role:

    This position receives circuit court orders to seal criminal records, evaluates them to determine that they are complete and correct, accesses criminal information through a variety of systems, makes proper sealing and documentation.

    You will work with a team of professionals managing criminal records and responding to the needs of our partners and stakeholders. This position will access files, operate microfiche machines, and navigate state archives to locate relevant files. You will review circuit court orders against rules, laws, and policies before taking appropriate action.

    This position is represented by American Federation of State, County, and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.

    Minimum Qualifications:

    Two years of secretarial or basic administrative support experience that includes records processing, generating documents, and gathering and sorting data; OR

    An associate degree in general office occupations and one year of experience with records processing, generating documents, and gathering and sorting data; OR

    An equivalent combination of education and experience.

    • Interpreting and applying laws, rules, policies, and court orders
    • DOC400 data system
    • Electronic and paper filing and archiving
    • Microfiche
    • Microsoft Office, specifically Excel
    • Reviewing court orders for accuracy, authority, and completeness
    • Communication in writing to customers, managers, attorneys, and courts

    Working Conditions:

    This position works at the Offenders Information and Sentence Computation Unit located onsite at the Coffee Creek Correctional Facility in Wilsonville and may include contact with adults in custody. Travel throughout the state to correctional institutions and archived records may be required. Accessing, lifting, and filing boxes of files or using a microfiche machine.

    The Oregon Department of Corrections is responsible for over 12,000 Adults in Custody in 12 state prisons throughout Oregon. It advises and evaluates counties regarding administration of probation and parole programs supervising more than 24,000 offenders in Oregon communities.     Benefits

    The salary range listed above is for non-PERS qualifying applicants. PERS qualifying applicants may be eligible for an adjusted range to reflect and additional 6.95%. The State of Oregon provides a generous benefit package, which includes family health and dental insurance, optional short and long-term disability and term life insurance – all of which can be tailored to individual needs. Also provided are fully paid retirement program, modest life insurance policy, paid holidays, vacation and sick leave.     What to Expect:

    Requirements for Employment

    You must be able to pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following convictions are likely to result in being disqualified for this position: felony convictions, computer theft, identify theft and fraud. CJIS clearance is done at the conditional job offer.
