Description
The IP Records Specialist is part of the Intellectual Property & Technology Business Unit team. They organize, maintain, and update electronic records in the Intellectual Property Department to improve the efficiency of the IP attorneys and staff, establishing best practices for managing electronically stored documents.
General Responsibilities:
- Provide support for maintaining, updating, and managing electronic files for a high-volume IP practice
- Evaluate and enhance current records management procedures to increase efficiency and help establish protocols
- Assist attorneys with scanning and filing handwritten notes and client instructions in appropriate workspaces
- File Engagement Letters for All Clients in designated workspaces
- Review scanned paper mail and electronically file documents; share copies with attorneys and staff as needed
- Add scanned documents to docket records as required
- Audit existing files and correct misplaced documents
- Responsible for filing incoming USPTO documents in designated workspaces
Additional responsibilities:
- Identify and analyze complex records-related issues, recommend solutions, and implement them
- Identify issues, propose solutions, gain stakeholder buy-in, and execute the solutions
- Understand IP Records processes and objectives
Special Projects:
- Assist with file intake, including reviewing and organizing paper and electronic files from clients/previous counsel
- Scan paper files as needed and coordinate larger scanning projects with Office Services
- Help prepare paper and electronic files for transfer out of the firm following IP department protocols
- Provide support for internal file audits and other special projects as required
Desired Skills
- Familiarity with FileSite, iManage
- Advanced word processing skills using Microsoft Office products
- Ability to learn quickly and work independently with minimal supervision
- Team player; able to collaborate with senior leaders
- Bachelor's Degree preferred or a minimum 4 years of experience in information management (including electronic data) and intellectual property law practice. Records management professional certification beneficial
- Excellent communication skills, both verbal and written
- Strong organizational skills and attention to detail
Pay:
$28.30 per hour
Expected hours: 40 per week
