    Job Summary

    The Faculty Operations Manager reports to the Chief Administrative Officer (CAO) of Radiology, and is directly responsible for management of academic administrative operations in the Department. This includes overseeing the administrative needs of 200 paid Faculty and Non-Faculty Academics and over 75 WOS and Volunteer Faculty. The Faculty Operations Manager will work closely with the CAO to generate support and facilitate implementation of internal academic administrative protocols and directions for the Department to follow as new/updated policies are mandated by HR Shared Service Center, School of Medicine Dean's Office, and the Office of Faculty Academic Affairs.

    The Faculty Operations Manager position performs short and long term strategic planning for academic administrative operations and regularly works on highly complex issues where analysis of situations or data requires an in-depth evaluation of variable factors. The individual exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results. The position reports to the Chief Administrative Officer, but collaborates with all department administrative leadership team as well as the faculty leadership team.

    The Manager will oversee the Faculty Operations Unit in the Department. The Unit is composed of four high level administrators (four full time employees (FTE) staff), in addition to the Manager. The Manager will be responsible for providing leadership, direction, and oversight of all of the Department's academic operations and activities, which consist of recruitment of new faculty, retention of current faculty, academic merit and promotions advancements, faculty mentorship, faculty diversity and outreach as well as faculty leadership growth and development.

    The position is the subject matter expert for Campus and School of Medicine (SOM) policies and procedures pertaining to academic affairs and partners with the Vice-Chair for Academic Affairs, the School of Medicine Dean's Office and the Office of Faculty Academic Affair for overseeing faculty compliance to University policies, Academic Personnel Manual (APM), and the Department Compensation Plan. The Manager will support the Chair, Senior Faculty, Chief Administrative Officer, and Faculty as needed regarding labor laws and regulations, campus policies, procedures and practices, compensation strategies, recruitment strategies and other human resources matters.

    The Manager will partner with Academic Human Resources (HR) Shared Services and will direct unit staff. The Manager will be working closely with the Department's Chief Administrative Officer, Chief Financial Officer and the Director of Research to plan, organize and direct all activities including faculty personnel administration, faculty compensation management, and clinical time distribution.

    The Manager will also partner with the Advisor to the Chair for Faculty Development to develop innovative programs for faculty development and retention. Additionally, the Faculty Operations Manager provides expert level knowledge and independent judgement on all day-to-day management of academic faculty activities in the Department.

    The Manager also completes special projects as assigned by the Chief Administrative Officer or the Vice-Chair of Academic Affairs.

    Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% – 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

    For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

    Department Description

    The Department of RADIOLOGY & BIOMEDICAL IMAGING is one of the largest departments in the School of Medicine (SOM) at UCSF, generating more than $70 million in professional fee revenues each year, and annual grant awards of $30-40 million. The mission of the Department includes research, teaching, and patient care. The department has over 200 salaried faculty and non-faculty academics. There are also approximately 75 WOS clinical faculty. The Department operates across eight sites in San Francisco and the Bay Area.

    Required Qualifications

    • Bachelor's degree in related area and / or equivalent experience / training.
    • At least five years of experience working in an academic environment with both Faculty and Researchers
    • Minimum of three years of lead/supervisory/manager experience
    • Demonstrated skills in employee supervision and HR administration. Prior supervisory experience of direct and indirect reports
    • Ability to analyze large datasets and generate reports from the analyses
    • Knowledge of Advance, PeopleConnect, MyReports, AP Recruit, Qualtrics, and/or equivalent processing systems.
    • Excellent computer skills including the design, development and implementation of new databases, word processing, spreadsheet applications and website content.
    • Ability to use discretion and maintain all confidentiality
    • Solid knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll.
    • Solid organizational and customer service skills to effectively manage multiple priorities.
    • Advanced interpersonal and written skills; customer service oriented; independently responds to changing priorities and competing project deadlines
    • Solid skills to quickly evaluate complex issues and identify resolutions.
    • Proven ability of analytical and critical thinking skills to conduct analyses and develop recommendations, demonstrating organizational and problem-solving skills
    • Solid interpersonal skills including verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling to effectively motivate others.
    • Highly skilled communication and interpersonal skills to communicate with and influence others, both verbally and in writing. Strong ability to coach, facilitate, and influence people at all levels
    • Solid knowledge of common organization-specific and other computer application programs. Excellent computer skills including the design, development and implementation of new databases, and word processing and spreadsheet applications

    Preferred Qualifications

    • Supervisory or Leadership certification
    • Knowledge of SmartSheet; Bearbuy, MyExpense and/or equivalent processing systems
    • Expert knowledge of UCSF campuswide Academic Personnel Policies and Department administrative policies. Resolve issues and implement departmental policies as related to the Academic Personnel Procedures (APM) and the Health Sciences Compensation Plan Policy. Strong understanding and implementation of compensation policies and procedures governing academic employees and health sciences compensation plans.
    • Solid knowledge of the organization's processes, protocols and procedures with a focus on budget, account and fund management and / or personnel management within labor contract(s) and personnel policy.
