Overview


Under the supervision of the Scheduling and Logistics Manager, this position identifies and assigns consultant Reviewers for each monitoring review; research routine and complex logístical arrangements; secures travel and hotel accommodations for Head Start Reviewers and DLH staff; assists with the development of observation and classroom schedules, creates eligibility file samples, and provides high quality customer service and qulaity control support for scheduling and logistics tasks.


Responsibilities

  • Identify and confirm consultant Reviewers based on requirements specific to each review event (Focus Area 1, Focus Area 2, Classroom Assessment Scoring System, Followup, and Special)
  • Support Review Leads, Regional Office Program Specialists and Followup Leads in the development of observation and review schedules, as needed
  • Research travel and lodging options including remote and logístically challenging locations
  • Provide Review Leads with Logistics Summaries for all onsite monitoring reviews
  • Complete accurate and timely airline, train, rental car and hotel arrangements for Reviewers and staff conducting onsite reviews as required
  • Ensure hotel and travel arrangements meet Federal Travel Regulations and DLH guidelines
  • Prepare and send Credit Card Authorization Forms and Travel Order Letter to hotels prior to the start of each onsite review event
  • Communicate with Review Leads, Travel Vendor, and Reviewers to facilitate a seamless travel experience
  • Triage hotel and travel issues, working directly with DLH's travel vendor to resolve matters
  • Support the resolution of onsite incidents and travel emergencies
  • Formulate accurate and complete Eligibility File Samples through the skillful utilization of the Eligibility Calculator and Program Enrollment Roster for all grants being monitored
  • Provide customer service and quality control support for scheduling and logistics tasks
  • Triage review planning mailboxes responding to inquiries from Reviewers, hotels, and other stakeholders
  • Provide weekend and afterhours coverage resolving travel emergencies and cancelations
  • Identify progam risks and recommend process improvements

Unique Job Requirements and Characteristics

  • Requires rotational coverage for weekends 8 am to 10 pm ET, for the purpose of handling travel emergencies and cancelations
  • Ability to travel 10% of time to attend required meetings and trainings.

Qualifications
Associates degree in Business or related field and 4+ years travel coordination/logistics experience or equivalent combination of education and experience
