    ABOUT EARLY MEDICAL (our medical practice)

    Early Medical is the highly-sought after virtual (telemedical) practice of Dr. Peter Attia, author of the #1 New York Times Bestseller, Outlive: The Science and Art of Longevity and podcast host of The Drive, one of the most popular podcasts covering the topics of health and medicine. Our practice focuses on the applied science of longevity and deals extensively with nutritional interventions, exercise physiology, sleep physiology, emotional and mental health, and pharmacology to increase lifespan (how long you live), while simultaneously improving healthspan (the quality of your life). As a telemedicine practice, we are licensed in dozens of states, and the staff is fully remote.

    We have 5 Physicians in the practice (3 Staff Physicians). This role will work in service and support to a single physician; we have 2 other Patient Care Coordinators onstaff currently. We are a private practice serving a very small and selective patient panel.

    Our company culture has been remote since its inception and we are proud of the flexibility we can offer our team members (Live anywhere, Work anywhere). Each of our team members is available Monday through Friday during standard business hours. Unlike a concierge practice, we are not a 24/7 entity, but our medical team does address urgent or critical patient issues appropriately as they arise. We are really proud of the mature remote culture we have developed and now sustain to offer a certain level of employee autonomy;

    Semi-annual employee-sponsored travel for company meetings or project-based team workshops. Early Medical currently has over 30 remote employees across our full portfolio of brands.

    CANDIDATE TITLES

    We need a strong physician extender and we recognize incredible talent can be found across a number of similar titles. We are actively considering candidates across a broad range of previous or current role titles:

    ROLE SUMMARY

    You will play a significant role in both the ownership and management of each individual patient experience by removing operational friction where you see it, feel it, or predict it rising. As a Patient Care Coordinator, your mission is to ensure EHR (electronic health record) organization behind each patient experience to drive the operational success.

    This includes things like scheduling, task assignment and completion, patient communication, and handling specialist referrals. By delivering exceptional white-glove communication and sophisticated delivery of patient care, you will become invaluable to each patient and their respective compliance to the longevity program - resulting in the direct enhancement of both their lifespan (how long they live) and healthspan (how well they live).

    Working in direct partnership with a single selected Physician within our practice, you will soon develop a strong rhythm to internal communication, predicting the other's behavioral response, finishing each other's sentences, sharing in the ideation and innovation to evolve our patient experience, proactively coordinating next steps and completing assigned tasks, developing new SOPs that reduce inefficiency, celebrating the success of patient progress.

    You will work in community with two other Patient Care Coordinators. Together, you will strive for developing consistency and uniformity in process execution. Although each Patient Care Coordinator supports a single Physician, we believe strongly in the power of peer collaboration and innovation. This means, you can expect to give and receive feedback in ways that feel respectful, productive, and empowering to those with an entrepreneur-like mindset who appreciate the journey as much as the outcome. Having strong lines of reliable redundancy allows for seamless coverage during peak seasons, employee PTO, or family emergencies.

    ROLE ALLOCATION (Setting 1st-year expectations)
    • 35% Coordinating patient meetings: internal or external providers, specialists, and (mobile) phlebotomists to drive patient progress and success forward
    • 35% Patient Care administration: Maintain the patient's chart (e.g., upload clinical documents, reconcile medications), and answer general patient questions by phone or email from the patient or a member of their team (e.g., assistant, Chief of Staff, chef), or their external care team (e.g., Primary Care Provider)
    • 10% Upward management of Physician: Directing and managing how your supporting Physician should best spend their time to address any top priorities you recommend attention toward (e.g., patient care, internal meetings, meeting prep). You will be responsible for setting the tone and capacity of your Physician's calendar to support a Chief-of-Staff like mentality (e.g., predicting and preparing for deadlines and workflows).
    • 10% Data organization - you will have ownership over any results (labs, imaging) that your patients receive, will organize the data, and put it in front of your physician team for review
    • 5% New patient onboarding: complete administrative duties to ensure the new patient experience is exceptional
    WHAT THE JOB LOOKS LIKE MONDAY-FRIDAY
    • Work closely with supporting Physicians to coordinate the delivery of care in accordance to brand standards, company ethics, professional code of conduct, and HIPAA regulations;
    • Coordinate patient blood draws with concierge phlebotomist in their residential area;
    • Retrieve and manage patient medical records;
    • Create, maintain and organize EMR records, patient results, and patient-facing documents;
    • Work seamlessly with your supporting Physician to make sure she/he is prepared for every patient encounter;
    • Manage and track the patient experience. Reminding the team of upcoming events and tracking patient-focused deadlines;
    • Coordinate special requests and client projects;
    • Work directly with the patient's external care team (assistants, outside physicians, etc) to inquire about, resolve, and facilitate client requests and outside appointments; and
    • Ensure service standards are being exceeded at all times when answering and responding to in-bound client requests.
    EXPERIENCE
    • Candidates must have a bachelor's degree in a relevant field of study (i.e., science, biology, or nursing);
    • You have 5-10 years of experience coordinating patient care and ensuring patient success in an administrative position within a medical practice or hospital setting;
    • You are a Medicine 3.0 zealot;
    • Candidates must have awareness and experience with healthcare operations and general healthcare regulations (e.g., OSHA, HIPAA, DEA guidelines);
    • Experience working in a high-touch, customer/patient service-orientated practice with insight on how to foster or maintain a satisfying customer/patient experience;
    • You are proactive and able to prioritize a high volume of time-sensitive tasks;
    • You have meticulous attention to detail;
    • You demonstrate superlative time and task management skills;
    • You have honed high-touch customer service and communication skills; and
    • You have strong proficiency using Microsoft Office Suite, Adobe, Electronic Medical Record systems, and Client Relation Management systems

    SALARY RANGE:

    There are a variety of factors that go into determining a salary range, including but not limited to external market benchmark data, geographic location, the highest level of completed education, and years of experience sought/required.

    The annual base salary range for this role is between $65K - $90K, depending on years of experience and professional credentials/education.
