Job Summary:


The Accounts Receivable/Payable Specialist will be responsible for maintaining accurate records of all incoming payments, ensuring timely collection of outstanding invoices, and resolving any payment discrepancies.

The position will be the backup to domestic/international Accounts Payable, along with some specific Accounts Payable responsibilities.

Ensure all aspects of Accounts Receivable / Accounts Payable in a manufacturing environment are done in accordance with GAAP policies in a timely and accurate manner.

This position requires a high degree of accuracy and attention to detail, while providing support to the finance and accounting staff.


Essential Functions:


Responsibilities:


  • Monitor and reconcile customer accounts to ensure accuracy and prompt payment collection.
  • Generate and send customer invoices, statements, and payment reminders.
  • Follow up and communicate with customers regarding outstanding invoices and payment discrepancies.
  • Investigate and resolve billing and payment issues, including chargebacks, disputes, and refunds.
  • Collaborate with the sales team and customer service department to address customer inquiries and resolve any issues impacting payment collection.
  • Prepare and analyze Accounts Receivable aging reports to identify past due accounts and prioritize collection efforts.
  • Process and post customer payments, including checks, credit card payments, and EFT.
  • Provide exceptional customer service by promptly responding to customer inquiries and resolving any issues related to Accounts Receivable.
  • Support the Finance/Accounting team with special projects upon request.
  • Protects organization by keeping information confidential.
  • Performs clerical duties as assigned, to include but not limited to filing.
  • Responsible as backup to Accounts Payable position, including regular duties not limited to:
  • Review of all invoices against the Purchase Order to ensure correct costing.
  • Timely invoice entry and payments to vendors.
  • Ensure and follow safety requirements and standards.
  • Perform all duties in a manner that follows, demonstrates, and promotes Ki Mobility's company values.
  • Report to work as scheduled, on time, and able to work entire work schedule.
  • Perform additional duties as assigned.

Knowledge, Skills, and Ability:


  • Knowledge of basic accounting principles, specifically in accounts receivable.
  • Ability to perform with highly developed attention to detail.
  • Ability to maintain confidentiality of sensitive financial information.
  • Proficient in Data Entry to input high volume of work.
  • Communicate professionally both verbally and written with internal customers and external vendors.
  • Ability to display strong professionalism and organizational skills.
  • Skill and ability to perform all essential functions in an ethical manner.
  • Advanced math proficiency.
  • Able to work effectively both independently and within a team environment.
  • Ability to be highly adaptable and responsive to changing business needs.
  • Possess a continuous improvement mindset.
  • Ability to observe and identify details.
  • Ability to work extended hours as scheduled, including weekends.

Physical Demands:


  • Frequent sitting, wrist manipulation, walking, and standing.
  • Frequent lifting and pushing up to 10 pounds.
  • Occasional lifting and pushing up to 50 pounds.
  • Manual dexterity to type and operate office equipment frequently.

Qualifications:


Education:


  • High School Diploma or GED.
  • Associate degree in Accounting, or equivalent work experience.

Experience:


  • Required:
  • Experience with ERP systems (Sage not required but beneficial).
  • Intermediate level experience with Microsoft Office programs (emphasis in Excel and Outlook) and other enterprise software.
  • Preferred:
  • Experience working in a finance position in a manufacturing environment.

Working Environment:


  • Standard working conditions include a temperaturecontrolled office and manufacturing environment.
