- Review invoices for appropriate documentation and approval prior to payments; process for payment.
- Post invoices into the accounting system.
- Assist the Accounting Manager AP in generating expense and reimbursement payments.
- Assist the Accounting Manager AP in maintaining audit-ready accounts payable records.
- Act as liaison between the New Life Centers locations on accounts payable activities; respond to AP inquiries.
- Research vendor statements and respond to vendor inquiries and resolve discrepancies.
- Assist the Accounting Manager AP with the monthly reconciliation of petty cash.
- Assist the Accounting Manager AP with information gathering needed to support the addition of new vendors to the accounting system, including documentation needed to assure W-9 compliance and payment method documentation.
- Assist the Accounting Manager AP with the monthly corporate cardholder data-gathering workflow, including follow-up on missing, incorrect, or otherwise inadequate expense documentation.
- Assist the Accounting Manager AP with monthly reconciliation of the credit card system to the GL.
- Perform periodic internal audits of cardholder reports and provide feedback.
- Assist the Accounting Manager AP as needed.
- Provides support for the grant vouchering process by gathering supporting documents as directed by the Accounting Manager AP.
- Provides support for the annual financial audit related to AP expense selections and support gathering.
- Supports the accounts receivable and account payable functions during peak activity seasons.
- Must become a Certified Mandated Reporter. Training provided.
- Must pass a background check, must not have any pending cases.
- Must pass a Child Abuse and Neglect Tracking System background check.
- Must pass a National Sex Offender Registry background check.
- Must have a working phone and phone number.
- Associates degree in accounting or equivalent practical experience in fund-based accounting and account reconciliation preferred but not required.
- Working knowledge of QuickBooks or Sage Intacct.
- Precision in account reconciliation and report generation.
- Cross-cultural competency.
- Ability to communicate effectively both written and verbally.
- Ability to effectively work independently, problem-solve, multi-task and take initiative.
- High organization and detail-oriented skill ability.
- Proficient in Microsoft Word and Excel.
- Must be willing to be trained, and proficiently utilize database(s) and information tracking systems relevant to duties.
- Must keep confidentiality of participant and staff information as well as all accounting records.
- Ability to establish and maintain effective working relationships with others.
- Must travel to site as requested.
- Bilingual English/Spanish preferred but not required.

Job DescriptionPosition Summary:
The Accounting Clerk AP position is full-time, 40 hours per week (non-exempt, benefits available). The Accounting Clerk AP is responsible for expediting and executing accounts payable tasks, for providing corporate credit card system support and for performing internal audit tasks for AP and credit card transactions in support of the New Life Centers accounting office. This individual will also provide customer service support to the staff and funders of New Life Centers related to accounts payable. Pay commensurate with experience. This position can be a work from home position. Some on-site hours may be required.
