    **This position will be based on our campus in Cambridge, MA. However, due to the COVID-19 pandemic this position will be remote until further notice.**

    **Alumni Affairs and Development (AA&D)** comprises the University Development Office (UDO), Faculty of Arts and Sciences (FAS) Development, AA&D Resources, and the Harvard Alumni Association (HAA). There is a unique relationship between the University and the FAS fundraising operations, resulting from a long history in which University fundraising ultimately grew out of College fundraising.

    **Harvard Alumni Association (HAA)**

    The HAA is the official association for all of Harvard University's alumni. The HAA is responsible for University-wide alumni initiatives and works with all Harvard Schools, including the FAS, to increase alumni engagement. The HAA is also the home of the Harvard and Radcliffe College Alumni Programs Office. The HAA supports a global network of volunteers who organize alumni through Harvard Clubs, Shared Interest Groups, college classes, and graduate and professional School organizations.

    This full-time, temporary position is one of three staff providing exceptional customer service in the Harvard Alumni Association's College Alumni Programs team. S/he reports to the Associate Director for College Alumni Programs and works in close partnership with the Coordinator for College Alumni Programs. The person in this role will interact with a broad variety of constituents including alumni, students, parents, and administrative personnel in a fast-paced, high-volume, deadline-driven environment. This position plays a critical role in representing Harvard in response to inquiries related to Harvard College reunions, senior class activities, and alumni celebrations. Ultimately, a successful Alumni Customer Service Representativewill be responsible for maintaining accurate, up-to-date, and useable information in our systems.

    **Customer Service Core Duties:**

    Manages multiple, high-volume email inboxes

    Responds to issues and questions from end users via phone and online channels

    Deploys, refines, and updates templated email responses and FAQs

    Effectively interacts with users of all technical skill levels to advise on online event registration

    Interacts and supports alumni and community members ranging from current students to 90+ year-olds.

    **Data Entry, Integrity, and Reporting Core Duties:**

    Entering alumni data and account information within time limits set with manager

    Generate reports, store completed work in designated locations, and perform backup operations

    Compiling, verifying accuracy, and sorting information

    Maintains registration files and related records

    Research and obtain further information for incomplete documents

    Performs additional tasks as required to ensure data integrity and accuracy

    **General Administrative Core Duties:**

    Performs additional tasks as required to ensure a high-level of alumni, student, parent, and volunteer support

    Provides timely updates to users, colleagues, and management on the status of outstanding issues

    Printing, sorting, and mailing celebration tickets

    Creates complex mail-merge files

    Sorts, organizes, and processes paperwork and financial records after entering data

    Scan documents and print files

    *This is a time-limited position for 6 months from start date (anticipated in January).*

    1-2 years of related experience, education may count towards experience.

    Superb written and oral communications skills, with excellent attention to detail.

    Experience with customer support best practices (phone required).

    Expertise in Microsoft Office Suite, including Word and Excel.

    Bachelor's degree preferred

    Previous experience in a fast-paced office environment

    Solid PC computer skills with the capability to master new software applications

    Experience with databases (Certain, Advance, Qlikview preferred)

    Ability to execute extensive mail merges and report generation

    Strong organization skills

    Must have ability to handle confidential materials with discretion and display sound judgment
