Report In Location: 1970 West Broad Street, Columbus, Ohio 43223
Work Hours: 8:00AM to 5:00PM
(CURRENTLY HYBRID ELIGIBLE) Will report to the office 5 days a week during an assigned training period. After successful completion of the training period, this position will report into the office 3 days a week and telework 2 days a week. Subject to change.
Under direct supervision from the Deputy Director 3 within Emergency Medical Services (EMS), provide secretarial & non-routine administrative support & if assigned, acts as lead worker over lower-level administrative &/or office support staff:
-Independently research Ohio Revised Code (ORC) & Ohio Administrative Code (OAC) & respond to complex &/or confidential correspondence;
-Assist in formulating program policies related to the EMS Trauma Committee; Monitor Trauma Committee website;
-Prepare meeting materials & maintain all records &/or actions of the Trauma Committee;
-File documents pertaining to the Trauma Committee & the activities for other committees in accordance with the record retention policies;
-Prepare & update written trauma reports, spreadsheets, & presentations utilizing Microsoft Office applications;
-Represent unit at meetings, conferences or on EMS committees as needed;
-Communicate decisions, directives &/or assignments to appropriate staff;
-Monitor unit e-mail account & distribute inquiries received to appropriate staff & follow up on responses;
-Review & summarize reports on operations &/or personnel activities;
-Research & compile data from EMS databases;
-Utilize Microsoft Office Applications, Tableau, EMSIRS, & other required data/analytics tools to prepare spreadsheets/documents for reports &/or presentations;
-Maintain confidentiality of records in accordance with federal, state & Ohio Department of Public Safety (ODPS) regulations;
-Coordinate acquisition & maintenance of office equipment.
-Perform secretarial tasks for division Deputy Director (, maintain calendar &/or make travel arrangements; take minutes of meetings & distribute copies to attendees; handle sensitive phone calls & direct calls appropriately);
-Prepare meeting agendas & notification announcements;
-Serve as secretary for the 24-member trauma committee (, set up committee meeting space & electronics; plan & coordinate upcoming events & projects);
-Perform public relations duties (, furnish information & explain programs to the public; provide information &/or data for news releases; respond to public inquiries; provide support as needed for committee activities);
-Prepare confidential reports, letters & interoffice correspondence.
-Serve as support & backup to State Board of Emergency Medical, Fire & Transportation Services secretary;
