DEPARTMENT ADMINISTRATIVE ASSISTANT

SUMMARY:


RESPONSIBILITIES:


  • Assist leaders with their daily, quarterly, and annual scheduled duties, to include materials and setup
  • Arrange meetings and conference calls including coordinating all meeting logistics, developing agendas, meeting materials, take attendance, etc.
  • Manage and treat highly confidential information professionally and in accordance with expectation of leadership
  • Anticipate team needs and proactively bring together appropriate people and resources to support leadership in addressing issues
  • Maintain paper and online records and follow procedures for retention, protection, retrieval, transfer, and disposal
  • Follow abstract/presentation deadlines and conference dates to make sure leadership is aware of upcoming events/deadlines
  • Assist in creating publications, presentations, and materials as required for submissions
  • Prepare and process expense reports
  • Coordinate travel for departments and offsite visitors
  • Prepare, maintain, and process KOL and consultant agreements, scope of work, travel expenses, and meeting agendas
  • Manage online library of Scientific Publications
  • Maintain collaborative and positive relationships with internal administrative team and external administrative partners
  • Oversee responsibility for onsite and offsite events including meetings, happy hours, conferences, and team building events
  • Reception coverage as needed
  • Other duties as assigned

  • Proficient in Microsoft Office Suite 365 (Outlook, Word, Excel, PowerPoint)
  • Biotech experience preferred, but not required
  • The position is not remote. It will be located in our headquarters building at 2855 Gazelle Court, Carlsbad, CA 92010.
