    Job Title: Administrative Assistant for Estimator

As we continue to grow, we are seeking a diligent and detail-oriented Administrative Assistant to support our Estimator and contribute to the success of our projects.

    Position Overview: The Administrative Assistant for the Estimator will play a pivotal role in providing administrative support to the Estimating Department, assisting with documentation management, communication, and project coordination. This position requires a proactive individual with strong organizational skills and the ability to thrive in a fast-paced environment.

    Key Responsibilities:
    • Documentation Management: Assist in the organization, maintenance, and filing of project documentation, including bid documents, contracts, and correspondence with clients and subcontractors.
    • Data Entry and Analysis: Support the Estimator with data entry tasks, ensuring accuracy and completeness of project estimates, budgets, and cost tracking information.
    • Communication Support: Serve as a primary point of contact for internal and external communications, including phone calls, emails, and inquiries, and ensure prompt and professional responses.
    • Scheduling and Coordination: Assist in scheduling meetings, appointments, and project reviews, coordinating calendars and logistics to ensure efficient use of time.
    • Document Preparation: Prepare and format various documents, reports, and presentations using Microsoft Office Suite or other relevant software, ensuring accuracy and adherence to company standards.
    • Vendor and Supplier Relations: Assist in communicating with vendors, suppliers, and subcontractors to gather quotes, negotiate pricing, and track deliveries as needed.
    • Office Support: Provide general office support, including photocopying, scanning, faxing, and filing documents, and ordering office supplies as necessary.
    • Project Support: Assist the Estimating team with research, analysis, and other tasks to support the development and submission of project estimates.
    • Assist Estimator with Administrative Tasks: Support the Estimator with various administrative tasks, including expense tracking, timesheet management, and preparing reports as needed.
    • Ad Hoc Projects: Undertake special projects and assignments as directed by the Estimator or senior management, demonstrating flexibility and a willingness to contribute to departmental objectives.
    Qualifications:
    • High school diploma or equivalent required; Associate's degree or certification in Office Administration or related field preferred.
    • Previous experience in an administrative role, preferably in the construction industry or a related field.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with project management software.
    • Strong organizational skills with the ability to prioritize tasks and manage time effectively in a deadline-driven environment.
    • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
    • Attention to detail and accuracy in data entry and documentation management.
    • Ability to maintain confidentiality and handle sensitive information with discretion.
    • Proactive problem-solving skills and the ability to work independently with minimal supervision.
    • Willingness to learn and adapt to new tasks and responsibilities as needed.
