    Description

    We have an opening for an Account & Project Manager on our small, multi-disciplinary art & design team. This role is a conduit between Clients and the internal team on assigned projects, following the needs, comprehension & development of a project throughout the process. They will lead projects from start to finish while maintaining consistent communication with our clients to ensure our projects come out on scope, on time and on budget. For each project, they will own client/internal communications, planning, agreements, client payment management, reviews/presentations, scheduling, recaps, etc. Throughout the project phases, they will keep our internal tools, team and calendar up-to-date and moving in tandem with our client checkpoints for their projects.

    We build things we haven't built before so we look for employees that are excited by the unknown and are up for the challenge, someone who is experienced enough to manage projects independently but also game for being a part of an ever-changing, growing company. This position is suited to someone who is self-motivated, organized, proactive, detail oriented, positive and enjoys a collaborative environment. The ideal candidate has a proven track record of account and project management in an agency setting. They have worked on a small team and understand how to manage tasks effectively. This person is on top of the details and deadlines. They have a knack for accurate and detailed communications. They are natural at keeping the team in the loop, ensuring everyone has the information they need and are accessible for any questions they may have. They are adept at forecasting what is coming down the road and know how to anticipate and plan for the next steps. Most importantly, they have a passion for creating something unique and beautiful with a small team of wizards.

    Responsibilities

    • Lead client relationship and communications for assigned projects. Be organized and inspire confidence with the client and internal team
    • Use foresight, comprehension, and context to ensure client & internal advocacy
    • Learn, manage, and communicate our process, milestones and narrative to ensure a cohesive understanding between HOS and the client
    • Develop project creative briefs, proposals, presentations, timelines, budgets, and project plan with team
    • Proactively plan and request information from client and/or team as needed
    • Stay ahead of challenges, anticipate next steps, bringing solutions & proactive efforts
    • Independently & accurately maintain tools with critical project info
    • Manage client documents, assets and information, ensuring safe keeping
    • Oversee client presentation deck process; preparing, finding and organizing creative materials, proofing, polishing, etc.
    • Complete tasks independently and seek information as needed
    • Be consistent in clear communication with regular and comprehensive recaps, after meetings and follow-ups, that have actionable steps and assignments
    • Maintain a steady/positive attitude during busy times
    • Embrace our small, nimble team and the important role each person plays in our success
    • Work closely with the Supervisor, Creative Director, Graphic Designer, and Production team to ensure a comprehensive project plan for each project
    • Thoughtfully and intentionally plan client hospitality, including client gifts, meeting prep, and special touches
    • Communicate and maintain project financial information for budgets, cashflow, projected client payments, and invoicing
    • Ensure milestones happen on time and proactively work with the team to make shifts as needed
    • Prep for and report in at weekly traffic meetings. Keep tools/info up to date in real-time for team accessibility/visibility
    • Daily updates and adjustments in project management tools, keeping tools accurate with the most up to date information
    • Use foresight and planning to maintain the team and project calendars
    • Track task assignments and follow up proactively as needed
    • Manage post project process
    • Support new business efforts with new and existing clients
    • Support Marketing projects, milestones, tasks & timeline, occasional social posts
    • Support internal projects and events as needed

    Job Requirements

    • 2+ years of Account and Client service (Agency preferred)
    • 2+ years of Project Management
    • Experience with project management software (i.e. Basecamp)
    • Experience with small-to-large complex organizations, ability to handle multiple stakeholders at various levels
    • Experience with projects in a built environment and/or the Arts
    • Ability to multi-task & manage about 6-8 projects simultaneously
    • Proficiency on G Suite tools; Sheets, Docs and Slides
    • Highly motivated, proactive, accurate, and organized
    • Excellent communication skills (verbal and written)
    • Proficient with building budgets, agreements, and presentations
    • Critical thinker that can digest a client's needs and translate them to the team
    • Open minded, curious, and excited about making new ideas come to life everyday
    • Thrives on keeping order and staying on track
