Project Administrator
Are you looking to begin a rewarding career as a Project Administrator?

The Project Administrator reports directly to the business unit Vice President. There is a support dotted line to The Senior Director of Finance and Administration through the Administration Managers. The Project Administrator will work directly with the Project Managers and Assistant Project Managers to provide project support.


Essential Job Functions

  • This is a list of the most prominent duties and responsibilities.
  • Organize and maintain project billing records, including but not limited to requesting new job numbers from accounting, maintaining billing/work order spreadsheets, and billing through various electronic invoicing systems as required by the customers, which may also include closing work tickets.
  • Process project contracts through the Contracts Department.
  • Coordinate arrangements for special meetings and training on an asneeded basis.
  • Provide JD Edwards, word processing, and spreadsheet support for managers
  • Assist in collecting outstanding invoices
  • Prepare, organize, and maintain project billing and contract maintenance books.
  • Provide a professionally maintained office environment.

Education & Experience

  • REQUIRED_
  • High school diploma
  • Excellent communication skills
  • Ability to maintain a high level of trust and confidentiality with sensitive items
  • Positive attitude and the ability to work with and learn from others
  • Interpersonal skills to effectively communicate with both internal and external customers
  • Skill in organizing and establishing priorities
  • Excellent attention to detail
  • Ability to work independently
  • Ability to handle multiple tasks and prioritize workload accordingly
  • PREFERRED:_
  • Knowledge of the Construction industry
  • Knowledge of JDE
  • Experience with Google Suite
  • Experience with Schedule of Values (AIA docs)
  • Project management assistant experience
  • Accounting experience
