Position Summary

The Dental Services Representative acts as the first point of contact for patients when they enter the site and performs all clerical duties related to patients during both the check-in and the check-out process.

The Dental Services Representative is responsible for monitoring appointments and patient flow to minimize wait times, answering telephones, scheduling appointments, collecting data, completing reports, and performing all duties, as requested by the Dental Director, Dentist and/or Practice Manager.


Duties and Responsibilities

  • Walkins/sameday appointments for emergency, pregnant women, and children. No patient is turned away without consulting Dental Director, Dentist and Practice Manager.
  • Verifies and corrects insurance discrepancies for the next day.
  • Ensures reminder calls are made and documented in Dentrix.
  • Documents treatment and patient information in dental software program.
  • Completes demographic form and/or verifies existing demographic information at each visit, completed in the Electronic Health Record, Athena.
  • Requests proof of insurance and scans current card both front and back.
  • Verifies that insurance eligibility is completed 2 days prior to scheduled appointments.
  • Collects appropriate copays and/or payments.
  • Annually advises patients of privacy rights, collects patient signature for HIPAA Privacy, Consent, and Demographic forms which are then scanned into the EDR. Offers the patient a copy of the HIPAA Privacy form.
  • Explains Financial Assistance to patients, as appropriate.
  • Assists in completion of Financial Assistance documents for patient, as appropriate.
  • Coordinates with the Patient Enrollment & Access Specialist for patients needing financial assistance.
  • Scheduling new patients, and existing patients for return appointments as directed by the Dental Team.
  • Sending out requests to insurances for procedures that require preauthorization. Documentation in patient's chart of when the preauthorization has been sent, received, and expiration date.
  • Filling out referral forms as requested by Dentist/Dental Director, scanning in patient's chart, and documenting on spreadsheet to followup.
  • Sending out dental claims using eclaims through Dentrix software.
  • Working closely with the billing staff to followup with patients that have outstanding balances.
  • Scans appropriate documentation regarding patient's ID, insurance, registration forms, medical/dental history, member service history, etc.
  • Fills the schedule with appointments for the Dentist or Hygienist.
  • Cross Train Dental Assistant
  • Other duties as assigned.

Customer Service

  • Greets patients in a friendly manner, giving PrimeCare's standard greeting.
  • Receives patients courteously and with a smile.
  • Answers the phones at the site within 3 rings.
  • Picks up any onhold calls within 90 seconds.

Required Skills or Abilities

  • Knowledge on all phases of dentistry.
  • Strong organizational, administrative, and problemsolving skills and ability to be flexible and adaptive to change.
  • Ability to effectively present information to others, including other employees, community partners, and vendors.
  • Ability to seek direction/approval on essential matters, yet work independently with little onsite supervision, using professional judgment and diplomacy.
  • Work in a teamoriented environment with a number of professionals with different work styles and support needs.
  • Excellent interpersonal, verbal, and written skills and ability to effectively work with people from diverse backgrounds and to be culturally sensitive.
  • Conduct oneself in external settings in a way that reflects positively on PrimeCare Community Health as an organization of professional, confident, and sensitive staff.
  • Ability to see how one's work intersects with that of other departments of PrimeCare Community Health and that of other partner organizations.
  • Make appropriate use of knowledge/ expertise/connections of other staff.

Required Knowledge, Experience, or Licensure/Registration

  • Proficiency in Electronic Dental Record software, Dentrix (Strongly preferred).
  • Current CPR from AHA approved organization.
  • Bilingual English/Polish or English/Spanish is preferred.
  • Knowledge of proper use of all dental materials and dental equipment and ability to assist dentist is preferred.
  • Proficiency in Microsoft Office strongly preferred.

Physical Demands

  • Must be able to remain in a stationary position 50% of the time.
  • Must be able to move around the clinic site 50% of the time.
  • Constantly operates a computer, computer printer, copy machine, and telephone.
  • Occasionally positions self to maintain exertion of physical strength to move objects of 10 pounds from one level to another.
  • Must be able to transport from one site to another.
  • Must be able to cover other shifts as necessary.
