The Team You'll Work With
The Mayor's Office of Special Projects and Community Events supports the Mayor's commitment to
honor the diverse communities of New York City by organizing, managing and directing Mayoral public
ceremonies, celebrations and receptions, in partnership with city agencies and with the support of the
private sector. These special events are hosted at Gracie Mansion—also known as the People's
House—and other iconic sites across the City. The work of the unit is key to celebrating the diversity of
the city and bringing New Yorkers together.


The Problems You'll Solve
Reporting to the Director of Events and Protocol, the Event Specialist is responsible for providing
overall support to the event management and external affairs teams of the Mayor's Office of Special
and production of large-scale special events throughout the five boroughs on behalf of the Mayor of
the City of New York.

Responsibilities include but are not limited to:

  • Provide on-site logístical support to lead event planners, this includes coordinating set
- up,

managing event materials including invitation and event signage, check-in process, assisting
with production elements and timing, communicating with venue and catering staff to ensure
flawless flow, managing break down, and overall troubleshooting.

  • Upload guest lists, manage RSVPs, respond to team inbox, draft event calendars, research
potential sponsors, create briefing documents and support senior staff of MOSPCE.

  • Support event leads in various event formats including heritage/community events, summits
and conferences, meetings and other small to large-scale events taking place indoors or
outdoors at Gracie Mansion.

  • As needed by the Director of Events and Protocol, support administrative tasks, up to and
memorandums, proposals, PowerPoint presentations, summaries, briefings and talking points.

  • As this is a floating position within the MOSPCE team, a cooperative attitude is needed. As well
as flexibility and willingness to collaborate with multiple staff within the MOSPCE team as well
as staff in other Mayoral office units or external stakeholders, we help to organize and promote
events.

  • An enthusiastic commitment to innovation is preferred; eagerness to share ideas on how to
improve services provided and event quality is encouraged.

  • Assist with managing volunteers and interns for event coordination activities.
  • Due to the necessary required event duties of this position, staff may be required to be on call
and/or work on weekends, evenings, early mornings, and public holidays. Additionally, staff are
expected to work indoors or outdoors in various weather conditions.


About You:


  • You should have an associate or bachelor's degree, 12 years of event experience, and have
- an interest in city government.
  • You should have strong interpersonal skills and ability to interact with guests at all levels and
- create a warm and welcoming environment are required.
  • You should have excellent written and verbal communication skills.

Salary
The City of New York Office of the Mayor's compensation package includes a market competitive
salary, equity for all full-time roles and exceptional benefits. Our cash compensation range for this role
is
$54,000 to $59,000.
