    Summary

    The Program Specialist assists in managing a multi-million dollar budget and coordinates and maintains more than 465 Affiliation Agreements with program letters of agreements from each division of the affiliate with more than 2,000 health profession trainees. The Program Specialist is Responsible for establishing and maintaining systems for tracking compliance with mandatory requirements that pertain to the health profession trainee's education.

    Duties

    Duties of the position include but are not limited to:
  • Prepares and coordinates reports.
  • Collaborates closely with the Director of Inter-professional Education and Associate Chief of Staff for Education to provide leadership and assistance in reaching program goals and initiatives.
  • Performs intermittent reviews of program directors and coordinators procedures and documents results of all clinical services to ensure that the resident education program continues to excel and remain compliant.
  • Participates and prepares recommendations which impact the way planning and integration of the Academic Affiliation is carried out.
  • Performs administrative work related to the OAA initiatives.
  • Develops, administers, and resolves policy, with little to no supervision, program and project issues associated with educational and resident programs.
  • Analyzes new or proposed policy concerning resident programs, with specific emphasis on Resident Supervision, to assure compliance with regulations and compatibility with the VA's second primary mission.
  • Participates on committees, task forces and teams as the Associated Health Trainee, Physician Resident, Medical Student and all associated faculty resident educational expert.
  • Promotes and disseminates Academic Affiliation initiatives and other related projects with VISN, facility and PVAHCS groups.
  • Assist in the design and distribution of training materials, communication vehicles, and data collection instruments to be used with related assigned initiatives for health profession trainees and related assigned initiatives.
  • Researches, collects, organizes and displays data related to assigned initiatives and projects.
  • Prepares reports that enable users to identify potential issues, needs and opportunities for improvement to related initiatives.
  • Assist health professions trainees, at all levels, in display and interpretation of accreditation data, data elements of accrediting bodies. Ensures reports are accurate, structured in a user-friendly format and completed in a timely manner.
  • Responsible for working with each service to accurately record and report resident time in order to secure and disburse appropriate compensation to our affiliate institutions.
  • Performs intermittent reviews of program managers and coordinators procedures and documented results of all clinical services to ensure that the resident education program continues to excel and remain compliant with regulatory bodies that govern training programs.
  • Responsible with little to no supervision for the allocation process of all VA funded residents, their appointments to the VA, and the management of the disbursement agreements.
  • Maintains proper documentation of Education Allocations.
  • Exercise management responsibilities related to the initiation, administration, and/or closeout of affiliation agreements, disbursement agreements, business associate agreements, education unrestricted grants and memorandums of understanding including responsibility for monitoring performance and cost.
  • Conducts special projects as assigned and/or appropriate. Special project involve fact-finding and suggestions for problem solution as well as assistance with development and implementation of new or reviewed policies or program changes.
  • Work Schedule: M-F 7:30AM to 4:00PM
    Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. This position may be authorized for telework. Telework eligibility will be discussed during the interview process.
