    We are looking for Executive Coordinator for our client in Cambridge, MA

    Job Title: Executive Coordinator

    Job Location: Cambridge, MA

    Job Type: Contract

    Job Description:

    Pay Range $38hr - $43hr

    Responsibilities:

    • Interacts with students, faculty, staff, including other senior leaders, as well as donors, alumni, and prospective students.
    • Serves as a first line of connection with staff and may be asked to represent DPSA at meetings or events.
    • Attends weekly DPSA communication partners meetings and completes follow-up as it relates to Sr Associate Dean or Assistant Dean work.
    • Attends bi-weekly Sr Associate Dean and Sr Associate Director of Communications and Marketing meetings and is the liaison for the Sr Associate Dean in their absence.
    • Edits and executes the delivery of high-level all-student email communications from Sr Associate Dean and Assistant Dean.
    • Attends monthly DSPA team meetings, drafting agendas and coordinating all supporting material, note taking, tracking and completes follow-up.
    • Attends bi-weekly leadership team meetings, drafting agendas and coordinating all supporting material, note taking, tracking and completes follow-up.
    • Plays a critical role in assisting the Associate Dean with all activities associated with the student disciplinary process.
    • Provides general office support including but not limited to answering phones, responding to phone and email inquiries, maintaining calendars, filing, and ordering office supplies.
    • Manages complex calendars, arranges for meetings, appointments and travel arrangements.
    • Coordinates Deans' meetings and events including space, media, catering, material needs.
    • Develops and maintains Sr Assoc. Dean intranet web presence.
    • Prepares timely processing of the Deans' expense receipts and office expenses.
    • Monitors Deans' discretionary budget including approvals, expenditures and providing reports.
    • Supports department and degree program events as needed, including but not limited to project managing activities of new student orientation and commencement, as well as coordinator of student study break events and department-wide outings.
    • As a member of Degree Programs & Student Affairs, takes on critical project work as needed.
    • The above covers the most significant responsibilities of this position. It does not, however, exclude other duties, the inclusion of which would be in conformity with the level of the position.

    Qualifications:

    • 5 years of administrative support experience.
    • Bachelor's degree preferred. Demonstrated advanced level proficiency with PowerPoint, Word, Outlook and Excel.
    • Ability to work with databases required.
    • Solid working knowledge of office processes and business systems.
    • Proven interpersonal skills and administrative experience providing complex executive-level support in a high-profile environment within a diverse context.
    • Excellent organizational skills as well as demonstrated ability to work independently and set priorities.
    • Must be able to work under the pressure of deadlines while exercising judgment, diplomacy, poise and maintaining confidentiality. Ability to pay attention to detail and work with constant interruptions required.
