Essential Duties / Responsibilities

Administrative Support: Provide administrative assistance to the business development team, including managing calendars, document management, expense tracking, scheduling meetings, agenda preparation, and arranging travel logistics.

Proposal & Presentation Preparation: Assist in the team with the creation of project proposals, presentations, and other documents required for business development activities.

Database Management: Accurately enter leads into the CRM. Maintain and update databases of clients, prospects, and business contacts, ensuring data accuracy and completeness.

Contract Review: Meticulously review agreements for completeness and accuracy prior to execution and archiving, promptly alerting BD Representatives and President when contracts deviate from policy.

Communication: Serve as a liaison between the business development team and internal/external stakeholders, facilitating communication and ensuring timely follow-up on inquiries.

Event Coordination: Assist in planning and coordinating events, conferences, and networking activities to promote business development initiatives.

Reporting: Prepare regular reports on business development activities, including pipeline updates and performance metrics.


Knowledge, Skills, and Abilities:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:

  • Bachelor's degree in business administration, marketing, or a related field preferred.
  • Previous experience (5+ years) in an administrative role supporting a C-Suite level executive, preferably in business development or sales is required.
  • Strong organizational, time management, and communication skills are essential.
  • Meticulous attention to detail and accuracy in handling documentation, and correspondence.
  • Ability to adapt to changing priorities and work effectively in a fastpaced environment while remaining selfmotivated
  • Strong problemsolving skills with the ability to identify issues and propose solutions.
  • Collaborative mindset with the ability to work well in a team environment.

PHYSICAL DEMANDS AND ENVIRONMENTAL CONDITIONS

  • Primarily works in an office environment.
  • Occasionally exposed to all environmental temperatures and weather conditions when visiting locations.
