    Assistant Director, Operations

    Essential functions (job duties):

    JOB PURPOSE


    This position will be responsible for improving the operational systems and processes - specifically reporting and information flow of a business process.

    Responsible for processes and procedures used to ensure the efficient and accurate delivery of aid to all applicants as related to maintaining compliance with Federal, State and institutional financial aid regulations and policies.

    The main programs of operational responsibility of the unit include:

    Verification, Stafford Loans, Pell, Satisfactory Academic Progress, Professional Judgments and other program related processes that require a coordinated effort and collaboration across multiple units within the office.

    Work activities demand direct participation in strategic planning initiatives; development and training of business processes and procedures; on- going monitoring and compliance of government financial aid funds; preparation of statistical and analytical reports.


    ESSENTIAL FUNCTIONS


    Increase the effectiveness and efficiency of aid delivery through improvements to technology as well as coordination and communication between various departments and functions.


    Develop, implement, and execute operations to ensure delivery of aid in a timely manner while ensuring policies, standards, and administrative capability are ensured.


    Monitor daily operation of multiple technical processes within the Banner system while interacting with various members of the unit and within the campus wide community.

    Managing day-to-day processing of transactions between the U. S. Department of Education and the institution.


    Direct and support processing efforts within the unit while seeking system improvements to ensure compliance while improving customer service initiatives.

    Measure productivity and to determine needs of the office utilizing data and various analytics.


    Evaluate, analyze, and report on financial data and transactions to ensure compliance with accepted procedures and maintain effective budgetary controls.

    Assist with the development of training materials and procedures. Reconcile and generate month and year-end reports

    Provide supervision to staff within the unit.

    Conduct processing review and prepare audit documentation for Fiscal Compliance Unit.

    Support initiatives in the management team and organizationally that contribute to long-term operational excellence

    Manage and support campus wide default prevention initiatives Perform related tasks as assigned

    MINIMUM QUALIFICATIONS

    Education:
    Bachelor's degree


    Additional Education Information:
    Bachelor's degree from an accredited college or university or an equivalent combination of education and/or experience.

    Additional Experience Information:

    Minimum 4 years of full-time Financial Aid experience more specifically in Direct Loan, Pell, and Federal Financial Aid programs including reconciliation and close-out.

    Considerable experience in planning, development and implementation of Financial Aid programs, policies and procedures. Must posses skills in interpreting regulations to implement systems, practices, or programs.

    KNOWLEDGE, SKILLS & ABILITIES REQUIRED


    TECHNICAL KNOWLEDGE - Extensive working knowledge of Financial Aid policies and business procedures/practices as well as maintain a reasonable understanding of selected policies, procedures, and practices from offices that interact most closely with Financial Aid.

    Must have a comprehensive understanding of federal laws and regulations governing loan programs as well as those involving overall student eligibility for financial aid.

    Ability to develop and implement technical updates or enhancements with minimal supervision. knowledge of applied principles of accounting used in governmental systems.

    MANAGEMENT SKILLS - Outstanding strategic thinking skills and problem solving abilities. Demonstrated success in training staff in methods and procedures. Strong mentoring and coaching skills. Proven ability to motivate people and foster collaborations, and inspire confidence to meet common objectives.

    COMPUTER SKILLS - Proficient in Microsoft Office tools including Microsoft Word, Excel, Access and Outlook. Extensive knowledge of Banner a must.

    COMMUNICATIONS SKILLS - Ability to communicate clearly, concisely and professionally both verbally and in writing. Ability to challenge and debate issues of importance to the organization.
