OVERVIEW OF RESPONSIBILITIES:

Primary Functions:
To provide on-going support and assistance to the Human Resources Manager. Act as receptionist for the District Office.

  • Maintains appropriate documentation of reference checks; prepares and maintains files; maintains log of certificates held by all staff; notifies staff of renewal process; answers questions regarding certification of employees.
  • Maintains HR database on employees relative to transfers, FTE changes, additional assignments, resignations and terminations.
  • Posts personnel vacancies, recruits applicants for certified and/or classified positions; assists applicants and answer inquiries regarding process and salary information; screens files for instructional and administrative positions; assists in setting up screenings and interviews; facilitates screening process and team interviews.
  • Processes employment appointments, indefinite team notices, family medical and noncompensable leaves, voluntary exit forms, and annual performance evaluations.
  • Assists in completion of salary surveys; answers external inquiries regarding descriptions and salaries; assists with employee request to review personnel files; assists the Supervisor of Human Resources in the preparation of correspondence, reports, and compiles necessary information for Board Agendas relative to personnel actions; maintains and updates job descriptions as needed; completes reference investigations on substitutes as needed; answers insurance and other related personnel questions as required.
  • Serves as the primary backup for fingerprinting and testing of applicants.
  • Based on needs of the Supervisor, will potentially monitor and assist in the facilitation of employee insurance coverage, including but not limited to changes, enrollments, billings, orientations, and related questions; notifies eligible employees of their COBRA insurance rights and processes COBRA enrollments; tracks insurance payments made by COBRA enrollees and retirees for dependents.
  • Completes employment verifications on eligible employees and forwards to payroll for earnings information.
  • Communicates with insurance consultant providing and gathering information as needed; coordinates annual open enrollment for insurance and flexible spending accounts.
  • Fosters a welcoming and inviting environment; greets all visitors with professionalism.
  • Completes all other assigned duties from the Director of Human Resources. Notice and disclosure is hereby provided that the duties contained within could vary depending on the needs of the department.

QUALIFICATIONS:

  • Education and/or experience equivalent to a High School Diploma or GED.
  • Must be flexible and possess the ability to multitask on a daily basis.
  • Three (3) years administrative support experience (preferred)
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable
