THE ROLE:

We are seeking an Executive Assistant to support our CFO / Head of Strategy (the "CFO"). You will play a vital role in ensuring the CFO is always organized, informed, and connected. We're looking for someone who curious with a strong interest in business and entertainment.

You'll need to be comfortable asking questions when you don't know something - whether to execute a complex task or better understand decision-making.

This is a professional growth opportunity for a highly motivated self-starter with excellent organizational, communication, and interpersonal skills.

RESPONSIBILITIES:


  • Proactively manage and protect the CFO's calendar, considering everything from context switching to travel time to maintaining sanity. Ensure appropriate meeting materials or proper context is provided before meetings.
  • Ensure that the CFO understands the basics of who, what, where, why, and how of every meeting, call, and conversation
  • Schedule, execute, and coordinate a seamless run of the CFO's daily schedule, juggling multiple, simultaneous requests across multiple time zones, business lines, colleagues, and stakeholders.
  • Serve as the first and primary contact for the CFO; prioritize and escalate issues to maximize use of the CFO's time and proactively resolve issues quickly. You and other executive assistants are critical drivers of the efficiency and effectiveness of Hartbeat's leadership.
  • Prepare and track expense reports in timely manner; review and advise on expense reports for CFO's direct reports, following Travel & Expense Policy.
  • Obtain necessary information and signatures for documents relating to the CFO and track to ensure proper processing and delivery. Safeguard our resources by ensuring everyone follows proper procedures before executing transactions or entering agreements.
  • You are a member of the Strategy, Finance, Accounting, and Workplace Ops team that's a lot of hats you'll need to wear. Sit in on executive meetings as needed to take notes and follow up with agreed upon action items. Help draft key memos, reports, and presentations and craft basic critical analysis and outputs, when needed.
  • Develop and maintain key "databases" for CFO with background information on critical news & events, partners and collaborators, and major industry trends.

EXPERIENCE & SKILLS:


  • Strong written and verbal communication, organizational, interpersonal, and critical thinking skills.
  • Detailoriented, good follow through, ability to multitask.
  • Ability to thrive in a fastpaced work environment.
  • College degree required, preferably in Business, Accounting, Finance, Engineering, or related field.
  • Minimum of 2 years employment experience.
  • Strong proficiency in MS Office required (Excel, PowerPoint, and Word), specifically experience in creating detailed spreadsheets using Excel.
