Positions Schedule:
This position has a varied schedule and includes first, second, swing and weekend shifts.


Position Summary:

The Events Assistant works with the special events and performing arts team in a combination of on the ground events work and administrative duties.

This role requires strong organizational and interpersonal skills to successfully plan, execute, and promote a variety of events and performances.

This role will report directly to our Director of Special Events & Performing Arts, but will be largely self-directed.


Essential Functions

Performing Arts Coordination:


  • Assist with all aspects of Tuesday Evening Music Club and Sunday Strings
  • Cultivate relationships with artists while doing day of show setup.
  • Ensure all performance agreements are properly completed and upheld.
  • Keep staff and volunteers informed of ongoing events, performances, internal procedures, and changes as needed.
  • Responsible for onsite assistance for internal Guest Experience events and hospitality for artist needs.

Event Planning and Coordination:


  • Develop and implement strategies for special events and performing arts in alignment with organizational goals and objectives.
  • Assist with planning and day of coordination of logistics for various events, including but not limited to concerts, Enlightened, Tuesday evening events, and more.
  • Support various teams utilizing external vendors to ensure seamless execution of events, catering, technical requirements, and security.
  • Assist with ticketing for the Fifth Third Bank Summer Concert Series.
  • Demonstrate exemplary guest service in all guest, member, staff, volunteer and band member interactions.
  • Assist with administrative tasks as needed.
  • Any other duties as assigned by the Director of Special Events & Performing Arts

Education and / or Qualifications preferred:


  • Education: Four year college degree or relevant experience.

Experience: 2-3 years' experience in the special events and performing arts field.

Skills/Knowledge/Licenses: Direct customer service contact, basic knowledge of multi-line telephone system Proficient in CRM software and Microsoft Office Applications. Ability to communicate effectively with high integrity and confidentiality required. Must be able to set priorities, be highly organized, and able to calmly solve problems and manage changing situations. Strong attention to detail. Scheduling flexibility that allows working second shift, swing shifts and weekends.

Working Conditions:

Requires ability to operate computer and other office equipment, plus mobility in office, grounds and exhibit areas and ability to move up to 10 pounds frequently and up to 25 pounds occasionally.

Must be able to communicate via telephone. May be required to work under inclement weather conditions occasionally.
