Position Schedule:
This position has a varied schedule and includes first, second, swing and weekend shifts.


Essential Functions

Event Coordination:


  • Coordinate event logistics, including setup and breakdown of event spaces, equipment, and materials.
  • Act as a professional contact during rental, group, wedding, and Meijer Gardens sponsored or promoted activities according to the rules and regulations of each event and directions of the Director of Special Events and Performing Arts.

On-Site Event Management:


  • Oversee the setup, execution, and teardown of events to ensure they run smoothly and according to plan.
  • Collaborate with staff, volunteers, and vendors to ensure all event components are in place and operational.
  • Monitor events in progress, ensuring adherence to park policies and safety regulations.
  • Provide leadership and prioritized responsibilities as needed for building wide operations.
  • Handle emergencies in conjunction with onsite staff and security personnel.

Communication and Liaison:


  • Communicate effectively with clients to understand their needs and expectations, providing guidance and support throughout the event process.
  • Act as a liaison between clients and across departments to coordinate event requirements and logistics.

Administrative Duties:


  • Maintain detailed records of event activities, client interactions, and feedback.
  • Assist with postevent evaluations to gather feedback and identify areas for improvement.
  • Any other duties as assigned by the Director of Special Events & Performing Arts

Education and / or Qualifications preferred:


  • Education: High school diploma or equivalent required; some college coursework in event management, hospitality, or a related field preferred.

Experience: Previous experience in event planning, coordination, or a related field is highly desirable

Skills/Knowledge/Licenses: Strong organizational and multitasking skills, with the ability to manage multiple events and priorities simultaneously. Excellent communication and interpersonal skills, with a customer-focused approach. Ability to work independently and as part of a team. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software. Physical ability to perform event setup and breakdown tasks, including lifting and moving equipment. Must be able to set priorities, be highly organized, and able to calmly solve problems and manage changing situations. Strong attention to detail. Scheduling flexibility that allows working second shift, swing shifts and weekends.

Supervisory Knowledge:Basic leadership and training abilities dealing with staff and volunteers.

Working Conditions:

Requires ability to operate computer and other office equipment, plus mobility in office, grounds and exhibit areas and ability to move up to 10 pounds frequently and up to 25 pounds occasionally.

Must be able to communicate via telephone. May be required to work under inclement weather conditions occasionally.
