- Experience with QuickBooks or similar software
- Minimum of a BA in Accounting, Financial Management, or a related field
- Expertise in accounting rules for nonprofit organizations
- Demonstrated success working in a senior financial management position for a nonprofit organization with a $2-5MM+ budget
- Strong operational experience; 5+ years in a senior management position and commensurate supervisory experience
- Demonstrated experience in cash management, financial reporting, and analysis; experience preparing financial statements including cash flow and balance sheet, profit/loss statements, projections, financial and cash flow forecasts, depreciation schedules, and budgets at a project, department and organizational level
- Experience working with restricted gifts and grants
- Excellent verbal and written communication skills and a demonstrated capacity to mentor and manage other staff and to work in partnership with a dynamic leadership team
- Experience working with and maintaining confidential information
- Highly organized; able to produce stored information quickly, maintain historical data, and develop shared information tracking systems that support the success of internal project partners
- Demonstrated resourcefulness in setting priorities; must be flexible and able to multi-task; have ability to be successful in a fast-paced and dynamic environment while making sound decisions and identifying viable solutions
- Proficient in QuickBooks online and Microsoft Office (Word, Excel, Outlook, Teams)
- Ability to work collaboratively and productively in an organization that prioritizes Diversity, Equity, Accessibility, and Inclusion and environmentally sustainable operations

- Typical office environment with standard equipment and tasks. Position is mostly stationary and will require frequent operation of a computer and other office productivity equipment.

Position Overview
The Director of Finance and Administration is a critical member of the senior leadership team of the Museum and a strategic partner to the CEO.This person provides leadership in developing and implementing appropriate financial and administrative policies and procedures, ensures accurate and timely financial reporting and administrative decisions, and produces performance metrics and statistical trends that support financial and administrative decisions by the governing Board and its committees, the CEO, and other senior officers of the Museum.
They also attend all Board Meetings and retreats, serve as staff liaison to the Board Finance Committee, and sit on the Board Building Committee and People Task Force.
Key ResponsibilitiesFinancial Leadership and Strategy
Prepare and deliver reports required by the Board and its committees, the CEO, and other senior officers of the organization; present useful, timely, and insightful analysis of the Museum's financial position, anticipating challenges and opportunities.
Oversee annual audit and tax filing process.Ensure timely filing of required government reports and documents (1099's, funding grants, W2's, etc.).
Oversee and uphold the Investment Policy and supporting cash flows.
With the CEO, lead the organization's annual bottom-up budgeting process.
Maintain the museum's banking and investment firm relationships.
Administration and Compliance
Provide supervision and leadership of the Finance and Human Resources Specialist role (payroll, AP, bookkeeping, and related).
Lead the organization's business policies, processes, and practices in compliance with standard accounting practices for nonprofit organizations.
Prepare information to support applications for grant funding and progress reports including the financial management of restricted and/or multi-year funds.
Prepare and complete monthly reconciliations.Develop and implement an annual workplan for the Finance and Administration team, supporting the successful execution of the Museum's Strategic Plan (currently in development).
Stakeholder EngagementServe as chief support and partner to the CEO in their role as Human Resources Officer, including on the development and execution of compensation, benefits, and other personnel investments and improvements.
Serve as the primary contact with the museum's IT, phone, benefits, and insurance consultants.Oversee an interdepartmental Parties and Rentals team and its related interactions with the Facilities team.
Work with the IT consultant and CEO on IT plans.
Team Leadership and Supervision
Supervise the Finance and Human Resources Specialist and the Parties and Rentals Scheduler.
Promote a culture of high performance and continuous improvement that values learning and a commitment to quality.
Supervisory Responsibilities
The Director of Finance and Administration supervises the Finance and Administration Specialist and the Parties and Rentals Scheduler.
