About the Position


The Office Coordinator, focusing on facilities management, is essential in supporting the operations of the Human Services Department by providing administrative assistance.

Responsibilities include administering vehicle and equipment repair and preventative maintenance tracking. Maintaining up-to-date operational policies and procedures, and coordinating with vendors to schedule deliveries and resolve facility-related concerns. The Office Coordinator will interact with internal staff, county department staff, and external staff.

We Require

  • Three years of progressive clerical/administrative experience
  • High School Diploma or GED
  • Postsecondary education may substitute for the experience requirement on a yearforyear basis.
  • Must possess or have the ability to obtain a valid Arizona driver's license by the time of hire
  • Must complete background check and fingerprint identification upon hire to secure and maintain DPS Fingerprint Clearance Card

Job Contributions

  • Manage and prioritize facility service requests under the oversight of the Facility's supervisor, directing necessary repairs or remediation to the appropriate lessor or the County's Facility Management Department as required. Ensure coordination and compliance with supervisory guidance to uphold organizational standards and objectives.
  • Maintain detailed records and logs of daily operations, including incident reports, accident summaries, maintenance requests and statuses, and other notable events related to facility management.
  • Develop purchase orders and acquisition requests for goods and services necessary for Facilities and Administration, ensuring timely and costeffective procurement.
  • Assist in developing, updating, and maintaining critical operational documents such as Emergency Procedures, Continuity of Operation Plans (COOP), Scope of Work, fire Drill/Evacuation Protocols, and maps to ensure employee safety and regulatory compliance.
  • Coordinate the management of the organization's vehicle fleet, including scheduling regular maintenance, monitoring usage, and serving as the primary point of contact with Equipment Services.
  • Handle all aspects of document management, including coordinating document storage, shredding services, and retrieving archived documents, ensuring compliance with data protection regulations.
  • Manage parking logistics, including allocating and monitoring parking passes, authorizing parking validations, coordinating with parking vendors, and maintaining a current record of parking usage.
  • Liaise with external vendors or internal Facilities staff to schedule and oversee routine maintenance and repair work, ensuring facilities are wellmaintained and operational.
  • Oversee the distribution and allocation of office supplies and equipment essential for the operation and upkeep of the organization's facilities group.
Working Conditions

  • Work is routinely performed in an office environment, which may require long periods of sitting, reading, and typing.
  • Requires travel to program sites throughout Maricopa County
