Duties:


This position serves as a Management Support Specialist to the Office of Environment and Energy, Financial Management Branch, AEE-4 providing a broad range of administrative and clerical support in the office.

Performs a combination of routine and multiple and varying assignments under the general direction of a manager, project/program manager, team leader, or more experienced professional.

Acts as an individual contributor and/or member of a team for projects/programs within a defined area of responsibility.


Applies experience and detailed knowledge of office procedures and administrative principles and concepts to support administrative and clerical support functions in the planning and accomplishing assignments.

Provides administrative support to AEE managers and executives by coordinating and scheduling specific meetings and conferences, collecting information, and organizing briefing notes and materials and tracking deadlines.

Works with more experience staff in coordinating and tracking AEE's overall response to action items.


Provides support to the manager and employees in the day-to-day operations, which may include several of the following areas: fiscal management, travel, management information systems, contract administration, property management, and procurement.

Coordinates travel arrangements, assists with time and attendance administration, labor distribution reporting, purchasing, correspondence control/ filing, and maintains calendars. Provides procurement support, maintains property records, and telephone and overall office management support to assist more experience professionals.


Applies administrative guidelines to collect and consolidate information, such as briefing materials, reports, and similar documents for used senior management in the preparation of presentations.

Collects program information from FAA personnel and enters it into information systems. Inputs budget expenditures; purchasing and inventory; organizing and maintaining files, documents, and records. Supports more experience professionals in the implementation of new office policies and systems.

Demonstrates some independence in planning time and using assigned resources to accomplish tasks or small projects. Collects and analyzes budget and financial data to identify problems and recommend improvements to systems and processes.

Refers problems and work issues to a manager, project/program manager, team leader, or more experienced professional when guidelines are not available or applicable.

Established policies/procedures provide guidance for most assignments but allow some discretion for employee to select the most appropriate approach(es). Typically receives guidance on selecting approaches from a manager, project/program manager, team leader, or more experienced professional.

Provides supports for program operations and their interconnectedness. Conducts researches and analysis on space management, travel administration, overtime usage trends, leave usage, etc. to identify problems.

Assists more experience specialist with the drafting of administrative directives or revisions and in assisting with the implementation of recommended changes.


Contacts are primarily internal to the organizational unit, and with managers and other employees to share information, provide data and/or written analyses, explain the statuses of assignments and follow up on actions to ensure timely completion and the smooth flow of communication.

Has frequent contacts with Congressional staff, Federal, state, and local officials, business executives, customers, and LOB/SO officials for obtaining information, explaining regulations, and discussing customers' situation.

Qualifications:

SPECIALIZED EXPERIENCE IS DEFINED AS:
Experience conducting research to identify administrative or program problems.

AND;
Experience coordinating and scheduling meetings and conferences, collecting information, and organizing briefing notes and materials, and tracking deadlines.
