Description

The incumbent is responsible for management and administration of all academic personnel functions in the Department of History and supervises 1 career FTE on the administration of the Unit 18 Lecturer and Postdoc Program.

Interpret academic personnel policy and advise the Chair, Vice Chair, CAO, faculty, and numerous departmental committees on appropriate implementation.

Provide analytical support to the Chair, Vice Chair, and CAO, in meeting departmental goals related to academic personnel policies and procedures.

Responsible for preparing various academic personnel and payroll reports for the department leadership as needed. Participate in departmental special projects as assigned by the CAO and department leadership.

Qualifications

  • Recent demonstrated work experience handling academic personnel matters in a university environment in accordance with applicable policies and regulations. (required)
  • Experience using the UC Path, Opus, Payroll Time Reporting (PTR) systems, and other online systems (e.g. UC Recruit, etc.). (required)
  • Demonstrated effective interpersonal skills to establish and maintain cooperative working relationships utilizing tact and diplomacy with faculty, administrators, students, and staff. (required)
  • Demonstrated ability to maintain confidential and sensitive material, and to handle confidential matters with discretion and diplomacy. (required)
  • Demonstrated ability to work independently, accepting challenging circumstances and taking initiative to solve problems where solutions are not always readily apparent. (required)
  • Skill in independently organizing and prioritizing various administrative tasks to meet deadlines, determining the time and sequence of events reflecting the relative importance of competing tasks. (required)
  • Ability to communicate clearly and effectively to convey accurate and timely information at various organizational levels. Ability to maintain composure when encountering opposition, insensitivity, or hostility. (required)
  • Skill in analyzing tasks and procedures, identifying relevant concerns or factors, and making informed recommendations recognizing viable alternatives and their implications. (required)
  • Demonstrated writing skills and ability to compose, edit, and proofread departmental reports, spreadsheets, memos, and correspondence; excellent knowledge of standard English grammar, punctuation, etc. (required)
  • Demonstrated ability to use university type data base systems similar to UCLA's Employee Data Base (EDB), Opus, UC Path and the Payroll Time Reporting (PTR). (required)
  • Working knowledge of University of California academic personnel policies and procedures contained in the UCLA CALL and Academic Personnel Manual (APM). Working knowledge of University of California hiring and payroll procedures for faculty. (required)
  • Demonstrated analytical skills to review detailed work for critical inaccuracies and determine if it is in accordance with applicable policy. (required)
  • Working knowledge of College administrative structure, and familiarity with other campus organizations and resources, e.g. College Personnel Office, Academic Personnel Office, and Payroll and Benefits. (preferred)

Education, Licenses, Certifications & Personal Affiliations

  • Bachelor's Degree in related area and / or equivalent experience / training (required)
