Overview

Responsibilities
Reporting to the Reservations Supervisor, responsibilities and essential job functions include but are not limited to the following:

  • Take every opportunity to amaze the guests.
  • Answer all incoming calls and inbox inquiries in a friendly and efficient manner.
  • Obtain the necessary information from the guests and enter it into the PMS computer system and generate PMS reports.
  • Process all incoming reservations and send confirmations.
  • Block special request reservations
  • Follow the daily tasks list that includes but not limited to: counterchecking arrivals & cancellations with OTAs and hotel direct reservations and auditing nextday arrivals
  • Appropriately interact with payment methods including: credit cards & vouchers. Post charges to guest rooms and house accounts as needed.
  • Answer questions concerning reservations for associates of other departments including but not limited to Sales, Events, Executive Office, and Front Office
  • Attend all hotel required meetings and trainings.
  • Perform other duties as requested by ownership and management.
  • Maintain regular attendance, scheduling will vary according to the needs of the hotel.

Skills

  • Efficient in basic computer usage and skills like MS Office programs
  • Must possess intermediate computational ability and computer skills.
  • Always maintain a warm and friendly demeanor.
  • Requires good communication skills, both verbal and written
  • Must be able to effectively communicate both verbally and written, with all levels of Colleagues and guests in an attentive, friendly, courteous and serviceoriented manner.
  • Must be effective at listening to, understanding, and clarifying concerns raised.
  • Must be able to prioritize departmental functions to meet deadlines.
  • Approach all encounters with guests and colleagues in an attentive, friendly, courteous, and serviceoriented manner.
  • Comply with Standards and regulations to encourage safe and efficient hotel operations.
  • Must be proactive in handling problems, including anticipating, preventing, identifying, and solving issues as necessary.
  • Must be able to maintain confidentiality of information.

Qualifications

  • 23 years of experience with customer service.
  • Hotel experience is a plus.
  • General knowledge of city and its attractions
  • Able to sit up to 8 hours a day, and able to spend extended lengths of time viewing a computer screen.
  • Maintain high standards of personal appearance and grooming.
