Position Information:
Essential Functions:
Executive Support:
Provide comprehensive administrative support to the Chief Financial Office, including calendar management, travel arrangements, meeting coordination, and handling correspondence.
Project Coordination:
Assist in coordinating projects and initiatives led by the CFO, tracking project statuses, deadlines, and milestones, and ensuring timely follow-ups and updates.
Task Management:
Track the status of tasks assigned to the CFO and other senior executives, prioritize action items, and provide appropriate follow-ups to ensure completion within deadlines.
Administrative Tasks:
Perform various administrative tasks and projects tailored to the needs of a senior executive audience, such as drafting correspondence, preparing presentations, and organizing documents.
Budget Process Support:
Provide support during the government budget process, including gathering and organizing relevant financial data, preparing budget-related documents, drafting Standard Operating Procedures (SOPs), reviewing Legislative Memorandum Referrals (LMR) requests, and assisting in budget planning and analysis.
Communication:
Serve as a point of contact for internal and external stakeholders, facilitating communication between the CFO's office and other departments, agencies, and partners.
Confidentiality:
Handle sensitive and confidential information with discretion and professionalism, ensuring compliance with relevant privacy and security policies.
Qualifications
- Experience as an administrative assistant
- Working knowledge of the government budget process and familiarity with federal agency operations
- Knowledge of administrative support and use of the Microsoft Office suite (Word, Excel, PowerPoint, Outlook) to manage administrative tasks and projects
- Experience supporting senior executives, preferably from a Federal agency
- Proven ability to coordinate projects, track tasks, and provide followups to ensure timely completion.
- Strong organizational skills and attention to detail, with the ability to multitask and prioritize effectively in a fastpaced environment.
- A high level of professionalism and communication skills
Education/Skills/Experience Requirements:
- Minimum of a Bachelor's degree in Business Administration, Public Administration, Finance or a related field
- Minimum of 2 years of experience as a budget administrative analyst
- Active public trust clearance or the ability to obtain a public trust clearance
- Experience developing and maintaining deliverable trackers
- Experience working with staff writing SOPs
- Experience drafting of budget preparation guidance and templates.
- Experience with Federal agency budgetary practices, preferably the Department of Commerce or its component agencies
- Experience in managing office print production
- Perform research and datagathering
- Experience in document control
