Under general supervision computes, classifies, records, and verifies numerical data for use in maintaining accounting records by performing the following duties.
ESSENTIAL JOB FUNCTIONS:
- Compiles and sorts documents, such as invoices and checks, and accounts payable records, substantiating business transactions.
- Prepares and maintains various spreadsheets for accounts payable and files.
- Verifies and posts details of business transactions, such as items received and funds disbursed, and totals accounts to ledgers or computer spreadsheets and databases.
- Reviews invoices against purchase orders and prepares for payment.
- Monitors loan transactions to ensure that payments are up to date.
- Codes general ledger data for input to financial data processing system according to company procedures.
- Assists employees, vendors, or customers by answering questions related to accounts, procedures, and services.
- Maintains payroll information by collecting, calculating, entering, and downloading data for 3rd party processor.
- Resolves payroll discrepancies by collecting and analyzing information.
- Maintains employee confidence and protects payroll operations by keeping information confidential.
- Performs other related duties as assigned.

QUALIFICATION REQUIREMENTS:
Education and Experience:
Associate's degree (A.A.) or equivalent from two-year College or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.

KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of:
- Applicable state, federal and local ordinances, codes, laws, rules and regulations and legislative issues.
- Accounting principles, policies and processes as related to governmental accounting standards and operations.
- Budget development and management.
- Correct English usage, including spelling, grammar, punctuation, and vocabulary.
- Internal departmental policies and procedures.
- Local government organization and operations.
- External governmental bodies and agencies related to area of assignment.
- Standard business arithmetic, including percentages and decimals.
Skill in:
- Organizing, assigning, leading and reviewing the work of staff.
- Working knowledge of computer skills in accounting software (QuickBooks preferred), Excel spreadsheet and Word processing software, and payroll systems.
- Calculating information, mathematical skills.
- Preparing clear and concise reports, correspondence and other written materials.
- Using tact, discretion, initiative and independent judgment within established guidelines.
- Researching, compiling, and summarizing a variety of informational and statistical data and materials.
- Organizing work, setting priorities, meeting critical deadlines, and following up on assignments with a minimum of direction.
- Communicating orally with internal staff, vendors, and other departmental staff in order to give and receive information in a courteous manner.
- Operating and routine maintenance of general office machines such as copiers, facsimile machines, telephone systems, and cashiering systems.
Mental and Physical Abilities:
- Ability to read and interpret documents such as operation and maintenance instructions, procedure manuals, and so forth.
- Ability to establish and maintain effective working relationships with others.
- Ability to add, subtract, multiply and divide whole numbers, common fractions and decimals.
- Ability to analyze and resolve problems involving several variables.
- While performing the essential functions of this job, the incumbent is regularly required to sit; use hands to finger, handle, or feel objects; reach with hands and arms; speak and hear; and push, pull and/or lift up to 10 pounds frequently and up to 20 pounds occasionally.
Working Conditions:
Work is performed in a normal office environment with little exposure to outdoor temperatures or dirt and dust. The incumbent's working conditions are typically moderately quiet.
