    JOB DESCRIPTION AND POSITION REQUIREMENTS:

    The Finance Office within the Donald P. Bellisario College of Communications at Penn State is seeking to hire an energetic, motivated, and organized Financial Coordinator (Level 3). This position supports faculty, staff, and students to complete financial and administrative functions in a support role, while providing excellent customer service and problem solving, to ensure continuous flow of operations to support the unit and college's mission to excellence in teaching, research, and service.

    Responsibilities: The successful candidate will be responsible for, but not limited to the following:

    • Monitor all funds/accounts for overdrafts and expenditure controls; report any issues to Financial Officer and/or Assistant Financial Officer for resolution
    • Work closely with Stewardship Coordinator for all programmatic endowments to ensure spending and compliance
    • Assist with tracking and monitoring gift income and expenses and annual reconciliation
    • Work with Grants and Contracts office, Financial Officer and/or Assistant Financial Officer on post-award informational meetings and budget set-up
    • Provide faculty with financial reports for awards, advise on budgets and spending to avoid deficits and promote timely spending. Ensure travel expenses, purchases of supplies/materials and equipment are allowable, allocable, and reasonable. Resolve College's aging and overspent account issues from Research Accounting. Will be assigned to Research Administrator role in SIMBA.
    • Coordinate with Assistant Financial Officer to manage effort on Labor Distribution Plans for sponsored awards
    • Monitor faculty funding (internal/external); compliance, budgeting, reporting, spending, etc. Update faculty commitment and related spreadsheets.
    • Support university and college initiatives and/or special projects as requested
    • Advise on policy and procedures – consult with Financial Officer and/or Assistant Financial Officer for resolution
    • Process SIMBA documents as requested
    • Coordinator Cash operations; deposits, Lion Cash and Credit Card Processing. Responsible for and/or oversee receivable functions, billing and payment processing, collections.
    • Assist with travel arrangements and processing as requested
    • SAP Concur reports as requested

    Computer skills, including MS Office 365 and Outlook, is required. Successful candidates must be highly motivated and exhibit a high degree of customer service and initiative. Excellent organizational, communication, and interpersonal skills are also required. Attention to detail and good judgement are vital, as well as the ability to work within a team environment, manage multiple priorities, and demonstrate a genuine appreciation in working with diverse audiences.

    Knowledge of the University's financial and other related policies, procedures, and systems such as SAP Concur (expenses and travel booking system), SIMBA (Financial System)), Shop OnLion (Online shopping portal), WorkDay (HRIS system) is preferred, but not required.

    Education and Experience: Typical requirements are an Associate's Degree or higher and 4+ years of related experience, or an equivalent combination of education and experience.
