    Job Description Summary / TWC Summary
  • Plans, develops and implements the administrative and financial services for a large division, to include but not limited to financial and human resources management, managing multiple budgets, purchasing and procurement, contract administration, oversight of interdependent college or department business services groups and complex special projects.
    Essential Duties Summary
  • Manages the activities of Facilities. Insures that standard processes and procedures are followed and that financial deliverables meet quality standards for input into universitywide financial systems. Supervises and serves as a resource to the college/department business administrators within Facilities as it relates to daytoday functions.
  • Participates in strategic and project planning for Facilities. Identifies project stakeholders, defines project goals and objectives, develops project budgets, and action plans. Ensures that all objectives are met and that projects are successfully completed.
  • Serves as liaison for Facilities to answer direct/indirect inquiries and serves as a point of contact with all departments reporting to the Facilities Administrator.
  • Serves as the executive support to the Facilities Director, which may include but is not limited to scheduling appointments for the Director as needed. Coordinates and arranges meetings, conferences and committee meetings. Makes complex travel arrangements.
  • Administers administrative and financial affairs of Facilities to include personnel, procurement, payroll and budgetary information.
  • Oversees purchasing and procurement activities for the division. Serves as liaison to vendors, and insures timely payments.
  • Researches and interprets state and university policies and procedures and advises and trains staff as appropriate. Ensures compliance with state, university, and external funding agency guidelines.
  • Manages multiple division budgets, including supervising annual budget preparation. Monitors department budgets and cost centers and advises the division head. Prepares budget and personnel reports, analyses and projections.
  • Develops and implements various databases using the BANNER financial system and/or applicable software, in order to capture and track all necessary personnel, payroll and budgetary information for division operations.
  • Supervises clerical support staff and student workers. Makes recommendations for hiring, personnel and disciplinary actions, and conducts performance appraisals for immediate staff.
  • Writes, edits, reviews and distributes confidential and complex correspondence, reports, forms, and documents that are sent to internal and external contacts.
  • Performs other jobrelated duties as assigned.

Education

  • Bachelor's degree (B.A. or B.S.).

  • Some stooping, lifting or carrying objects light weight may be required.
  • Use of video display terminal.
