Executive **Administrator, Corporate

  • USA (Hybrid)**As the Executive Administrator for the R3 CEO and COO, you are the touchpoint, handler, and ultimate linchpin for two of the most dynamic and vital driving forces within the company providing a buffer between outside noise and demands that enables their ability to focus on the strategic growth of R3. As the Executive Administrator (EA), you will join a family of hardworking, fun, and dedicated employees at R3, with an organizational culture unlike any other.

Primary responsibilities include:


  • Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company
  • Use discretion, confidentiality, and good judgment to handle C-Level matters
  • Represent the company and the Executive in a positive light through great followthrough skills and sound judgment
  • Conserve the Executive's time by reading, researching, collecting and analyzing information as needed, in advance
  • Complete adhoc projects as assigned such as company or personal events and/or family needs
  • Act as the primary point of contact between key executive(s) and leadership, management, employees, clients and other external partners
  • Managing information flow in a timely and accurate manner
  • Organize and manage complex personal and work calendars and schedules; resolving any scheduling issues
  • Draft, review and send communications on behalf of company executive(s)
  • Organize and prepare for meetings, including gathering documents, presentation development, action items, and attending to logistics of meetings
  • Own management and leadership action trackers and liaison with action owners to ensure their actions are uptodate and progress is being made, report as appropriate
  • Ensure daily timekeeping and expenses are entered and managed
  • Ensure leadership and management weekly, monthly, or quarterly reports are available and presented to executive leadership
  • Answer and respond to phone calls, communicate messages and information to the executive; respond to requests by gathering and providing information and referring nonroutine calls to the appropriate staff
  • Coordinate and arrange travel and accommodations arrangements
  • Maintain various records and documents for company executive(s)
  • Other duties as assigned

  • Bachelor's degree in business management, or related field; or 5+ years of relevant work experience providing leadership administrative support.
  • Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Excellent time management skills including flexible availability and hours dependent on needs of business and executive schedules; proven ability to meet deadlines with the ability to function well in a highpaced environment.
  • Exceptional organizational, documentation, communication, presentation, and relationship management skills; responsive, positive, excellent collaborator, and critical thinker.
