Job Summary
The Accounts Payable Coordinator supports the accounting team in accordance with internal accounting policies. Facilities vendor payments and responds to vendor inquiries and resolves any discrepancies. Applies G/L codes to invoices, processes expense reports and reconciles credit card statements. Provides overall support to the accounting department by performing a wide range of accounting, general and/or administrative tasks. Reports to an accounting supervisor.


Duties and Responsibilities

  • Accurately review, code, and process vendor invoices
  • Processes ACH payments to vendors
  • Identifies and resolves discrepancies
  • Responds to vendor inquiries
  • Obtains/manages vendor documentation (W9, certificates of insurance, etc)
  • Processes check requests and expense reports
  • Performs accurate data entry into various systems and spreadsheets
  • Reconciles credit card statements; promptly communicates billable items
  • Generates reports
  • Generates invoices
  • Posts receipts in accounting software
  • Scans credit card statements and A/P files
  • Collaborates with all departments to meet company goals May assist with month end and year end close, journal entries, collections of past due accounts, and/or other general or administrative projects and duties as assigned

Requirements and Qualifications

  • High school diploma
years of relevant experience with accounts payable or general accounting

  • Experience using a Foundation construction software a plus
  • Proficiency with Microsoft Office especially Outlook and Excel
  • Possesses strong organizational and time management skills
  • Ability to maintain confidential records
  • High degree of attention to detail
  • Ability to work independently and prioritize tasks
  • Must be a team player

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer
  • Use of both hands
  • Requires ability to walk, sit, stand, balance, stoop, bend, push, pull, lift, and reach
  • Must have vision, hearing, and ability to talk
  • Must be able to lift up to 25 pounds at times
