Effective immediately:
Part-time Administrative Assistant - College of Health Professions and Natural Sciences, - Wilmington University, New Castle Campus.


Requirements:

An associate degree or equivalent is required. Must have excellent communication, customer service, and organizational skills. Must be detail-oriented and able to work with diverse populations. Must be self-directed and able to make decisions independently and still work effectively as part of a team. Must possess strong written and verbal communication. Demonstrated ability to prioritize work and meet deadlines in a service-oriented environment with competing demands. Self-directed, independent worker with sound logic and reasoning in identifying alternatives or approaches to problem-solving. Maintains professionalism and confidentiality in all situations. Contributes as a team member and team builder. Must be computer literate and proficient in Microsoft Office products.

Must have a working knowledge of WilmU database management systems (e.g., CAMS, Canvas LMS, Banner, BDM, Recruit, or other Microsoft-based Student Information System) is required.

Ability to maintain professionalism and confidentiality in any situation is a must.


Responsibilities include (but are not limited to):

  • Become knowledgeable with COHPNS graduate and undergraduate programs.
  • Create a partnership with Program Chairs and Directors to facilitate exceptional communication and student service.
  • Support students and faculty in reference to (but not limited to) registration, student payments, financial aid, academic program advising, admissions, syllabi, and grade questions.
  • Handle incoming telephone calls and inperson dropins—triage questions and inquiries to direct them to the proper person/department.
  • Assist Program Chairs, Directors, and faculty to provide technical, curricular, and student support.
  • Assist Program Chairs and Directors in processing Academic Approval Forms, overload and override requests, grade changes, and other administrative operations.
  • Document, maintain, and report minutes from divisionspecific meetings (e.g., curriculum committee, advisory board).
  • Oversee event scheduling (room reservations, food & refreshment logistics, and ordering), RSVPs, coordinate AV equipment, etc. Coordinate advisory committee meetings, special events, etc. Provide necessary announcements, information, and invitations to College and University faculty for program/college events and activities.
  • Distribute, collect, and process Outcomes Assessment materials according to the established College procedure.
  • Demonstrate high levels of competency in oral and written communication with all stakeholders (students, faculty, staff, administration, and the community)
  • Demonstrate skill and confidence in utilizing video conferencing platforms (Zoom, Teams, etc.).
  • Develop collegial and collaborative relationships with administrative and support staff serving programs in other colleges.
  • Prepare materials for and assist with Open Hours and other similar events as necessary.
  • Promote and foster an inclusive and diverse environment for all students, faculty, and staff.
  • Perform other duties which may be assigned by the Program Chair and/or Dean.

Hours of Employment:
Generally, working hours will be between Monday through Friday, 8:30 a.m. to 6:30 p.m. depending on the needs of the department(s) and/or the University. The incumbent must maintain a flexible work schedule to occasionally work some early evening hours. Hours may be adjusted for the first week of a block/semester and special events. Travel to other Wilmington University sites is required.
