Lifebulb is seeking a highly motivated, positive individual to serve as a primary support to our team of therapists by managing and leading our new client scheduling team.


The Scheduling team Manager will also have the opportunity to work hand in hand with Operations Leadership in developing the scheduling department policies, procedures, and systems to better improve our team members' quality of position and also our clients' onboarding experience.


Qualifications:


  • Bachelor's degree in healthcare administration, business management, or a related field (Master's degree preferred)
  • Minimum of 3 years sales experience
  • Minimum of 5 years in a managerial or supervisory role
  • Strong understanding of Electronic Medical Records systems, scheduling software, and proficiency in Google Suite (Sheets, Gmail, etc)
  • Excellent communication and interpersonal skills, with the ability to effectively interact with patients, clinicians, and team members
  • Proven leadership abilities with a track record of successfully managing and motivating teams to achieve goals
  • Ability to analyze data and identify opportunities for process improvement
  • Knowledge of HIPAA regulations and patient privacy laws

Job responsibilities:


  • Lead and manage the scheduling team, providing guidance, support, and performance feedback to ensure team members meet or exceed performance targets
  • Develop and implement efficient scheduling processes and procedures to optimize appointment scheduling and minimize wait times
  • Collaborate with clinicians, administrative staff, and other departments to coordinate scheduling efforts and ensure alignment with patient care goals
  • Monitor scheduling metrics and analyze data to identify trends, bottlenecks, and opportunities for improvement
  • Ensure compliance with HIPAA regulations and patient privacy laws in all scheduling activities
  • Handle escalated scheduling issues and resolve conflicts in a timely and professional manner
  • Provide training and ongoing education to scheduling team members to ensure they have the skills and knowledge needed to perform their roles effectively
  • Stay current on industry trends and best practices in scheduling and patient care delivery, and incorporate new strategies as appropriate to drive continuous improvement
  • Foster a positive and collaborative work environment that promotes teamwork, open communication, and a commitment to excellence in patient care
  • Answer incoming calls from new clients seeking to schedule an intake counseling session
  • Gather pertinent client demographic, billing, and insurance information
  • Set up new client charts in an Electronic Medical Records system
  • Schedule new clients with the right fit in counselor or therapist
  • Perform outbound calls to coordinate schedulingrelated needs with new and current clients
  • Coordinate with team of therapists and support staff to problemsolve client scheduling issues
