Position Summary

The Executive Assistant will be responsible for overseeing the below.

Executive Support

  • Serve as the first point of contact for the CEO and COO, filtering inquiries and requests to manage their workload effectively.
  • Optimize CEO and COO's schedule with heavy calendar management
  • Support the CEO and leadership team to ensure seamless execution of plans and avoid scheduling conflicts
  • Coordinate internal and external meetings for multiple executives
  • Manage, organize, and safeguard confidential material, displaying the utmost level of discretion and ethical standards
  • Attend Executive meetings when needed to record minutes and identify action items and followups
  • Facilitate and manage all signature requests for the CEO, ensuring timely review, approval, and execution of documents while maintaining strict confidentiality and compliance with organizational policies.
  • Manage Executive events and book travel and logistics
  • Build relationships with key stakeholders in the CEO's internal and external network; represent the CEO in a professional manner
  • Coordinate executive projects and gather status updates
  • Assist with strategic planning and budget preparation as needed
  • Prepare expense reports and additional ad hoc reports as needed
  • Help organize and review incoming material, providing notes and coverage on submissions and project drafts
  • Prioritize conflicting obligations and needs, independently and proactively carry out projects to completion on tight deadlines
  • Responds to requests from internal and external sources with appropriate action using independent judgment
  • Engage in industry research and events registration as directed
  • Conduct research for new areas of work, as requested
  • Lead oversight for special projects
  • Prepare presentation materials
  • Support the organization with companywide events, including annual meetings, staff retreats, and holiday parties, collaborating with relevant departments for execution

You've gotta have:


  • A college degree in a related field (AA, BA, BS) or equivalent combination of experience and education that provides the necessary knowledge, skills, and abilities to perform the essential functions of this position
  • 57 years of work experience providing operations/administrative management
  • 3 years supporting Clevel executives
  • Exceptional organizational and time management skills, with the ability to prioritize and multitask with competing deadlines simultaneously, working effectively and efficiently to provide quality service delivery.
  • Energetic, enthusiastic and comfortable pushing back and saying "no" to others when necessary
  • Creative, detailoriented, and resourceful, with excellent followthrough skills, and able to complete assignments in a timely, accurate manner.
  • Exceptional time management, organization and personal effectiveness
  • Excellent written and verbal communication skills
  • Ability to both work independently and take a highly collaborative approach to your work
  • Ability to use utmost discretion in handling sensitive/confidential information.
  • Action oriented, strong track record as an implementer and selfstarter
  • Flexibility and the ability to adapt to changing business needs
  • A willingness to manage ambiguity, knowing that we don't yet have all the answers but are committed to finding them
  • Experience and confidence as an effective communicator who demonstrates excellent verbal, written, and presentation skills (including proofreading and editing); exhibits astute interpersonal skills and diplomacy
  • Have experience working in a fluid environment, can pivot easily, and capable of making decisions with mínimal guidance
